Lead Education Program Coordinator at University of Oklahoma

Job Description:

Responsible for overseeing various Graduate Medical Education software systems, ensures Residents comply with University training requirements. Works with program leadership and residents to troubleshoot software problems and provides solutions. 


Duties:



  • Coordinates and facilitates programs.

  • Assists with developing training for program directors and coordinators.

  • Develops and maintains relationships with residency and fellowship program leadership.

  • Keeps these stakeholders informed of programs and addresses any questions/concerns.

  • Compiles and prepares periodic reports.

  • Responsible for program oversight when Supervisor is off-site.

  • Delegates work and oversees task completion.

  • Assists in developing operational goals, objectives, and standards for GME Office.

  • Coordinates with appropriate University offices to ensure timely publication and dissemination of materials.

  • Attends partner/stakeholder meetings.

  • Plans for and assists with new employee and resident orientation.

  • Creates reports and program documentation to assist Associate Dean for GME and Director of GME.

  • Oversees the completion of routine program maintenance activities.

  • Recommends innovative plans for design or quality improvement of unit programs/procedures.

  • Participates in or lead committees.

  • May lead internal project team.

  • Manages and oversees all aspects of the use of a comprehensive RMS  (MedHub). 

  • Compliance Oversight

  • Coaches and mentors Education Program Coordinators (GME residency/fellowship coordinators)

  • Administrative & Event Coordination

  • Performs various duties as needed to successfully fulfill the function of the position.

Required Education: Bachelor's Degree in business, education, health, or related field, AND:



  • 36 months of administrative or program coordination experience.


Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree. 


Skills:



  • Effective verbal and written communication skills

  • Ability to communicate well and build rapport quickly with students, faculty, and staff

  • Composition and proofreading skills

  • Proficient in Microsoft Office. Computer skills, including proficiency in navigating and maintaining databases

  • Detail oriented for accuracy of data and information

  • Highly organized and ability to handle multiple projects and deadlines

  • Ability to read and interpret policy as well as State and Federal regulations

  • Strong initiative to solve problems

Departmental Preferences:



  • Requires analytical and problem solving skills and a keen attention to detail.

  • Certification in Graduate Medical Education Training Administration (C-TAGME) Preferred.
