Open Systems Technologies is looking for an Administrative Assistant to work in support of the Intelligence community.
The AA will serve as an integral member of the Group's Support Branch. The AA will work closely with Chief of Support Branch while serving as a primary focal point for all administrative functions within the group while also serving as a backup for the group's support specialists, including travel, passports/visas, and IT support.
Responsibilities Include:
The AA will be expected to work independently and as part of a team.
The AA will interact daily in-person with group staff and contractors and by phone and email with customers and support providers. Stellar verbal/written communication and customer service skills are critical.
Core hours are 0900 to 1500 hours with little to no additional hours required.
Occasional travel to other buildings within WMA will be required - a GOV will be available for transportation.
Intermediate Level Proficiency Required. Microsoft Office Suite (Outlook, Word, PowerPoint). Basic Level Proficiency Required.
Microsoft Excel (AA needs to have Basic understanding of Excel and how to manipulate Excel exports from Sponsor systems).
The AA will be responsible for overseeing, coordinating, and monitoring task completion of group travel functions.
Serve as primary POC for all visitor access requests, including for the group's 120 independent contractors.
The AA will be responsible for maintaining access roster, office roster and phone cards/trees and will train and guide other contractors to instill best administrative practices, foster an understanding of the rationale for processes and procedures, and enable delivery of high quality support.
The AA will be the backup responsible for submitting group officers for system access via the Sponsor Access Request system.
The AA should have knowledge and understanding of Sponsor Regulations as they apply to CONUS and OCONUS travel.
The AA will submit, review and/or concur on Sponsor Travel System and Sponsor Identity System requests processed by the group, checking for validity and compliance with both Sponsor Regulations and IC Contract Requirements.
The AA will also Assist Chief of Support Branch in planning and executing the group's annual IC conference by managing the schedule and coordinating facility requirements, guest speakers and visitors.
Required Qualifications:
Clearance: TS/SCI w FS Poly
Minimum of 2-4 years of experience in an administrative support role, preferably in a government or corporate environment.
Highly Desired Prior Experience with Sponsor Travel Systems (GoTravel,Sponsor Identity Systems (OneTravel). Candidate does not need to have prior experience with these systems, although it is a plus, but they must be able to learn the system quickly.
Familiarity with calendar management and administrative processes is essential.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience working with Pivot Tables.
Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
Excellent written and verbal communication skills.
Attention to detail and a commitment to maintaining confidentiality.
High school diploma or equivalent required; an associate degree or higher in a related field is preferred
