ABOUT THE ROLE
Michael Hatcher & Associates, a leading landscape construction and maintenance company, is seeking a highly organized and proactive Executive Assistant to provide direct support to the CEO. The ideal candidate will be a detail-oriented professional with exceptional communication and administrative skills, capable of managing a wide variety of tasks and projects in a fast-paced environment. This role requires an individual with the ability to anticipate needs, take initiative, and maintain confidentiality while assisting with both business and personal matters of the CEO.
ESSENTIAL FUNCTIONS
Administrative Support: Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize and coordinate meetings and ensure the CEO's time is used efficiently.
Communication Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders. Screen and direct calls, emails, and other inquiries. Draft correspondence on behalf of the CEO.
Document Management: Prepare reports, presentations, and other documents as requested by the CEO. Maintain organized filing systems for both digital and physical documents.
Project Management: Assist in the execution of company projects, ensuring timelines and deadlines are met. Track the progress of ongoing initiatives and report updates to the CEO.
Research & Data Analysis: Conduct research and compile data to support decision-making processes. Prepare and present findings to the CEO as needed.
Event Planning: Organize internal and external events, meetings, conferences, and company functions, including venue selection, catering, and coordination.
Personal Support: Provide assistance with personal tasks and errands for the CEO, as required, while maintaining discretion and confidentiality.
Other Duties: Perform other administrative and executive support tasks as needed to ensure the smooth operation of the CEO's office and contribute to the company's success.
ABOUT YOU
Qualifications
Associate or bachelor's degree in business administration, Management, or related field (preferred).
3+ years of experience supporting executive leadership, preferably in a fast-paced environment.
Valid driver's license and reliable transportation for occasional travel between Olive Branch and other locations.
Special Skills, Knowledge, and Abilities
Proven experience as an Executive Assistant or in other administrative roles supporting senior management.
Excellent organizational skills with a strong attention to detail.
Strong written and verbal communication skills, with the ability to interact effectively at all levels.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Ability to manage multiple tasks simultaneously while prioritizing effectively.
Strong problem-solving skills and the ability to work independently with minimal supervision.
High degree of professionalism, integrity, and discretion in handling sensitive information.
Familiarity with landscape construction or maintenance industry is a plus but not required.
Ability to work in a fast-paced and dynamic environment.
