Position Summary
Receives, sorts, delivers, and/or prepares all mail for delivery. Incumbent may be responsible for one or more of the following: Incoming Mail, Outgoing Mail, Policy Assembly and Mechanical Mailing.
This is an in office 2nd shift position (Mon.-Fri. 2PM-10PM)

Duties and Responsibilities
Receives and sorts mail from internal/external sources. Completes all aspects of fulfillment related to mail production.
Processes documents utilizing the most efficient and cost-effective method of delivery.
Secures unopened or undistributed mail.
Assists with company mailing projects.
Maintains confidentiality.
Specific Duties by Discipline
Incoming Mail
Opens, sorts and routes incoming mail for Home Office campus.
Picks up and delivers all inbound and interoffice mail according to prearranged schedules.
Sorts cash payments for processing area according to type of payment.
Serves as liaison for Agents regarding Policyholder address updates and system questions.
Prepares special handling/time sensitive documents for mailing.
Follows set procedures to identify and handle suspicious mail package handling for internal employees.
Imaging Mail
Prepares, scans and validates documents to organize customer data for both electronic and paper documents.
Verifies accuracy of metadata collaborating with internal customers before sending image to document storage system.
Sorts, organizes, and scans paper documents into software to release for validation.
Prepares special handling/time sensitive documents for mailing, which includes express mailing with claims checks.
Updates and maintains statistical database of completed jobs to track operator/department activity.
Outgoing Mail
Receives, sorts and prepares documents for Agents, branch offices, postal and express deliveries with accuracy.
Uses online shipping software and maintains sub-agent listings.
Provides courier service to internal and external customers requiring immediate or time sensitive deliveries.
Conducts quality checks of work for efficient delivery to external customers.
May maintain courier vehicle (gas, tires, etc.) and refers problems to supervisor.
Duties and Responsibilities (cont'd if applicable)
Policy Assembly
Sorts, assembles and prepares policy packets for mailing for policyholder, Agent and others.
Operates, identifies and escalates issues with the mechanical folding equipment.
Generates documents utilizing ERIE's systems and software applications (EGCF). to assemble policy non-renewals, cancellations and additional legal documents with Proof of Mailing.
Reviews pertinent information on time-sensitive notices to ensure accuracy. Proofreads all typed data for accuracy and inserts proper enclosures as necessary meeting legal mailing time requirements.
Batches documents for bulk mailing.
Mechanical Mailing
Operates and maintains mechanical mail equipment to prepare outgoing mail in efficient manner using bar code scanning and camera validation.
Monitors systems in place for tracking and re-printing all documents, troubleshooting issues and minor repairs authorized by service technician.
Complies with appropriate safety measures relating to the operation of mechanical mail equipment.
Ensures the use of correct materials, verifies job contents, counts and palletizing mail.
Ensures vendor is consistent in scheduling weekly preventative and general maintenance of mailing equipment with established procedures.
Supports multiple areas across as needed. Identifies and escalates issues which lead to inaccurate or otherwise incorrect mailing.

Qualifications
Minimum Educational Requirements
High school diploma or GED required.
Additional Experience
Willingness and ability to work weekends, holidays and/or various shifts as scheduled required.
Working knowledge of postal rules and regulations preferred.
Experience in one of the following areas: manufacturing, mailroom, and printing operations, or general customer service preferred.
Basic knowledge/understanding of Microsoft Office Suite products required.
Add'l for Imaging Specialists:
Passing score of 120 keystrokes per minute on data entry exam preferred.
Designations and/or Licenses
For those Employees performing regular courier duties, a valid driver's license and acceptable driving record required.
Physical Requirements
Use of Personal Protective Equipment (PPE) is required for this role.
