Clemson University is looking for an Executive Assistant to assist and support the ERP Program Director in the following duties:
Manages administrative workflow for the ERP Program Director. Assist the Program Director in designated areas and, whenever possible, relieves them of as many administrative duties as possible.
Must consistently exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Expected keep up with changing priorities, anticipate needs, and navigate high expectations.
Act as a key liaison for internal and external customers.
Performs other duties as assigned.
JOB DUTIES:
40% - Essential - Administrative Operations: Research, prioritize, and follow up on incoming issues and concerns addressed to the Program Director, incl. those of a sensitive or confidential nature. Organize materials and create agendas for meetings, briefings, and presentations. Take thorough notes and track action items to ensure timely follow-through on deliverables. Maintain clear records and provide the executive with concise summaries and updates. Provide a bridge for smooth communication between the Program Director and internal departments; demonstrating leadership to maintain credibility, trust and support with leadership. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
40% - Essential - Calendar Management: Manage and optimize an extensive, fast-changing calendars to align with priorities. Evaluate requests and make scheduling priority judgments. Plan, coordinate, and ensure the Program Director's schedule is followed and respected. May support project calendars as needed. Support the Program Director s preparation for meetings by collecting, formatting, and synthesizing relevant materials in advance. Optimize calendar to align with project plans and timelines.
15% - Essential - Customer Service: Assist internal and external customers by directing inquires to the appropriate staff. Coordinate and assist in special events and project activities as required. Participate in planning activities to include, speakers, location, travel arrangements, and plan refreshments and/or meals. Assists with coordination of special projects and initiatives across the University. Serve as additional contact as directed by leadership. Screen telephone calls as directed.
5% - Essential - Travel Coordination: Arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings. Initiate travel arrangements including airline and hotel reservations and meeting registrations. Contact vendors to coordinate travel within the plans of various seminar arrangements. Prepare and submit expense reports for the Program Director and others as requested.
MINIMUM REQUIREMENTS:
Education - Bachelor's Degree
Work Experience:
Experience in public administration, business administration, planning or public relations.
5 years of experience in executive support, preferably for a senior-level executive in a demanding environment.
PREFERRED REQUIREMENTS:
Preferred Education - Bachelor's degree in Business Administration, Communications, or related field
Preferred Experience:
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
8 + years of experience in executive support, preferably for a senior-level executive in a demanding environment.
RESPONSIBILITIES:
