Position Summary Information
Job Description Summary:
The Alumni Relations Office Assistant will perform customer service, data management and clerical functions in support of the Office of Alumni Relations/University Advancement. Key tasks include:
Responding to constituent inquiries in a timely manner via phone, email and in person; recognizing and escalating issues as appropriate.
Driving alumni data updates and requests through the appropriate forms and channels, in partnership with the Advancement Services team.
Contributing to the development and maintenance of customer support documentation, approved response templates and key contacts for the Alumni Help Desk.
Conducting research and formatting projects for Alumni Relations staff members.
Performing clerical duties such as preparing inter-office and post office mailings, making copies, stuffing information packets, etc.
Assisting with bi-annual processes such as maintaining collateral gift inventory, organization of gift closet and production room organization (2x per year).
Following data privacy policies and maintaining confidentiality.
Other duties as assigned.
Requirements:
Current undergrad student
Excellent customer service skills
Strong written and verbal communication skills
Comfort communicating with a wide variety of people (including older alumni)
Resourceful problem-solver with consistent follow-through
Attention to detail and emphasis on accuracy in work
Ability to exercise discretion, confidentiality, and good judgment
Ability to initiate and complete tasks with minimal supervision; proactive about asking questions and escalating issues to supervisor.
Knowledge of Microsoft Word, Excel, and PowerPoint
Willingness to learn and use new systems (Salesforce, Microsoft Teams)
Additional Information:
Occasional weekend/evening hours to help staff on-campus events; highly encouraged but not required.

Physical Demands Summary:
The job sometimes requires stooping or bending; some very light liftingsuch as three or four reams of paper or books (up to 20 pounds), maybe required.
Wage Rate:
$10 per hour
