Summary - basic function of the role

The Asset Administrator is responsible for the overall stock control, management of US assets and inventory stocking levels. While directly owning and maintaining US asset inventories, the Asset Administrator is also responsible for responding and supporting inquiries from other regional asset administrators and working with the global service team to ensure adequate global asset coverage.

Shift: Monday - Friday, evenings and weekends may be required; hybrid in office schedule

Job Duties and Responsibilities


  • Ensure all HSSEQ rules and regulations are met with regard to stock quality.

  • Maintain inventory stock levels for US service and rental locations.

  • Work in conjunction with supervisor to monitor equipment requirements and liaise with workshop supervisor to communicate stock availability issues.

  • Order spares and consumables to maintain sufficient stock levels.

  • Work with other regions, locations and manufacturing facilities to ensure best practice.

  • Ensure equipment assessments are conducted including adherence to refurb and repair policies and procedures.

  • Monitor efficiency and utilization of stock usage.

  • Ensure Equipment purchase and write off records are kept up to date.

  • Oversee the equipment return and dispatch details daily.

  • Attend Operations meetings regularly.

  • Overall responsibility of all stock movements in region.

  • Ensure stock is available on time for delivery and planning of all stock movements between sites.

  • Assist with audit needs and requirements and ensure policies and procedures are in place for successful annual audits.

  • Deliver continuous improvements.

  • Manage costs in workshop and look to drive down costs where possible.

  • Ensure KPIs are up to date for management.

  • Manage incoming requests for equipment and demo tools.


Skills and Competencies

  • Must be results-oriented, self-motivated and able to work in a team environment

  • Able to work cross-functionally with Finance, Sales, Operations teams

  • Ability to multi-task and adapt to schedule changes

  • Strong organizational skills and attention to detail

  • Exceptional interpersonal skills with ability to communicate effectively (written/oral) with diverse group of business partners: Customers, Management, Co-workers, Vendors and Suppliers

  • Prior experience managing CAPEX budget, calculating ROI, and tracking KPIs preferred

  • Computer skills include knowledge of Microsoft Windows software suite (Outlook, Excel, Word, etc.) and company business ERP system


Education and Experience

Bachelor's and 2 or more years work experience in Asset Management, Operations, Finance; or equivalent combination of education and experience.

Physical Demands

Employee may have to lift documents/work materials up to 30 pounds in weight. Employee may have to lift tools up to 100 pounds in weight. Employee will have to be able to walk/climb to a variety of primary work locations, including traveling by air/auto to remote sites. This can include occasional ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like. Employee will need to listen, understand, and speak with team members in person, telephonically, and electronically at all levels within a diverse workforce and with supported organizations. Employee can work in front of a personal computer and telephone for long periods of time. Will have repetitive motions that include the wrists, hands, and/or fingers.

Work Environment

Primary work environment is temperature-controlled office setting or a typical warehouse environment but may also be visiting different customers where following appropriate safety protocols at the location would be required. While in the warehouse or visiting customers, employee may be exposed to high/low temperatures, outdoor elements (such as precipitation and wind), high levels of noise, hazardous conditions, poor ventilation, small and/or enclosed spaces, or adverse environmental conditions.
