Job Description:

THE OPPORTUNITY

The Assistant to the Dean will provide direct overall support to the Dean as well as implement processes to communicate with, develop agendas for, and follow up with visitors to Babson College. Specifically responsible for maintaining correspondence and scheduling on behalf of the Dean, planning frequent business travel details, assisting in entering data and recording transactions into College systems, following procedures to approve Dean's signature on contracts. Serving as the initial interface between the Dean and the internal and external community; routinely interacting with multiple constituencies including faculty, staff, and students; providing comprehensive administrative support through the planning and managing of meetings and events, calendar management, document preparation, and responding to inquiries; and independently managing specific projects and processes as assigned.

WHAT YOU WILL DO

Plan and arrange communication, marketing, prioritization, agenda development, tracking, and evaluation for all visitors to Babson College; manage all incoming correspondence regarding visitors and their requests and keep a detailed record of such requests; and accurately record and develop monthly reports of visitor data collection.

Serve as the primary contact for the logistical planning and follow-up for visitors of Babson Academy.

Help with administrative tasks related visitors such as preparing documents, writing thank you notes, photocopying, answering phones, archiving, and filing.

Provides administrative support to the Dean including but not limited to: calendar management, scheduling meetings and travel arrangements, and preparing correspondence.

Serves as the first point of contact, acts as a liaison, and builds and maintains professional relationships both internally and externally on behalf of the Dean. Ensures timely and accurate assistance in all matters.

Oversees maintenance of electronic and paper filing systems and databases including retrieval of information, supervision of data entry, interfacing with IT for problem resolution, and revising existing or creating new processes for maximum efficiency.

Assumes additional responsibilities and special projects as required and as necessary.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Associate's Degree

At least 3-5 years supporting high-level individuals or equivalent experience.

Must have strong technology skills including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook/Calendar).

Must have excellent oral, written, and interpersonal communication skills and demonstrated ability to communicate in a cross-cultural environment.

Must have strong organizational and project management skills with the ability to appropriately prioritize tasks and adjust to changing priorities.

Team player with ability to take initiative and complete tasks with minimal supervision.

Must have excellent attention to detail.

Must be a team player, with the confidence to take the lead and guide colleagues from across the campus when necessary.

Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.

Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.

HOW AND WHERE YOU WILL WORK

Part-time remote with occasional in-person responsibilities.
