Responsibilities
This position is funded by non-university funds. The continuation of this position is contingent upon the availability of funding and contract renewal.
The Assistant to the Vice President for Government Sponsored Programs and Research (GSPAR) is responsible for coordinating, managing and performing complex and specialized administrative tasks in support of Government Sponsored Programs and Title III programs, including but not limited to maintaining responsibility for the critical organization, prioritization, and scheduling for the Vice President/Executive Director and maintaining continuity of office in his/her absence. Receives, reviews, processes, types, composes and/or submits a variety of documents, including routine and confidential correspondence, requisitions, expense reports, etc. Executes independent decisions within established guidelines and performs a full range of administrative services, including managing a dynamic calendar and scheduling meetings and conference calls. Arranges team meetings, invitations and participates in clerical duties, including copying, and mailing correspondence. Provides proofreading, word processing, and graphics support, as required. Demonstrates sound business ethics, and the use of technical and business vocabulary while applying a detailed knowledge of university operations and organizational procedures. Prioritizes and manages multiple tasks concurrently under aggressive timelines in a dynamic environment. Effectively handles confidential and sensitive information and displays strong logical, analytical, verbal and written communication skills while interfacing with varied constituents and customers. The position reports to the Vice President, Government Sponsored Programs and Research and Executive Director of Title III programs.
Associate degree in business, secretarial science is required or relevant field experience supplemented by three to five years of secretarial or administrative experience. Previous experience in higher education is preferred. Must demonstrate intermediate to advanced skills with Microsoft Office as well as the ability to type 40 words per minute with accuracy. Excellent oral and written skills are also required. Candidates must demonstrate intermediate to advanced computer skills in Microsoft Office (Word, PowerPoint, Access and Excel). Must be flexible, have a strong customer orientation, and be able to work well in a collaborative team environment. Displays intuitive judgment, knowledge, and ability to relieve executive of administrative details makes independent decisions regarding the planning, organizing, and scheduling of work within established guidelines, and exhibits flexibility and adaptability to changing priorities. Must be organized and have effective time management skills with strong attention to detail and the ability to prioritize multiple tasks with minimal supervision
