JOB TITLE: Estimating Assistant

REPORTS TO: Estimating Manager

SUMMARY

Supports the estimating team by managing documentation, providing administrative support, maintaining cost accuracy, and ensuring organized record-keeping for all projects.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Assist in creating, reviewing, and organizing proposal packages and related materials.
  • Organize and maintain bid documentation, ensuring accuracy and completeness.
  • Provide administrative support to the estimating team, including scheduling and proposal milestones.
  • Facilitate communication between the estimating team, Business Unit Leaders, and other stakeholders.
  • Regularly refresh costs through quarterly updates based on new material and vendor quotes.
  • Collaborate with the estimating team to integrate updated cost data into project estimates.
  • Maintain a Bid Tracker and disseminate updates to the estimating team and management.
  • Maintain organized records of bid-related documentation and submission histories.
  • Generate and collect Request for Quotes from subcontractors and vendors.
  • Support the Estimators in preparing comprehensive bid proposals and submitting bids.

SUPERVISORY RESPONSIBILITY

No formal supervisory responsibilities.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Familiar with standard concepts, practices, and procedures within the industry
  • Knowledge of production management, logistics, and supply chain concepts and methodologies
  • Proficient with MicroSoft Office suite of products and associated software applications
  • Excellent analytical and organizational skills
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables

EDUCATION AND EXPERIENCE

  • May require a bachelor's degree in a related field
  • 1-2 years of experience in the field or in a related area helpful but not required

WORKING CONDITIONS

  • Most work performed in-person or remotely under pressured, fast-paced conditions; frequently requires overtime
  • May require some travel
  • Minimal exposure to extreme temperatures, high noise levels, toxic or caustic chemicals, fumes, airborne particles, outdoor weather conditions, dusty conditions, wet and/or humid conditions, hazardous machinery, heights
