Job Description Summary


The School Leadership Program (SLP) is an executive model, cohort-based master's program for independent and public-school aspiring leaders. Under the direct supervision of the Associate Director, the SLP Program Coordinator has primary responsibility for the coordination of all aspects of the program including high-level administrative, student affairs, day-to-day operational and logistical functions of the program while also facilitating purchases, expense reporting and monitoring of budget. The Program Coordinator will be the primary point-of-contact for prospective and current students, organize class sessions and cohort weekends, with an expectation of working one Saturday morning per month.


Additional responsibilities include coordinating all preparation and planning for courses/class sessions/materials, providing technical and process support for faculty and presenters. The position also requires effective additional coordination of the following areas: data management and analysis, admissions, recruitment, enrollment, mentor and alumni communication and support, event planning, room reservation scheduling, catering, reimbursements, financial operations, and vendor payments.




Job Description





Responsibilities




  • Program logistics and student support: Oversees and manages all program logistics; Serves as the sole point-of-contact to all prospective and current students; Advises and resolves complex problems for customized student needs on issues such as registration, task & assignment completion, program fees, graduation documentation, and support post-graduation for the state principal certification with the Pennsylvania Department of Education; Organizing course set-up; Submitting final grades; Providing administrative support to the team as needed; Assisting in the logistical coordination of the partnership with the School of Philadelphia


  • Manage monthly cohort weekends and class sessions: Independently managing and overseeing all logistics for classes and cohort weekends including organizing on-site logistics, guest speaker accommodations, catering, supplies, and technology.


  • Fiscal management: Including budget monitoring and ensuring payment arrangement, submission, and expense tracking for facilitators, panelists, vendors, and instructional materials.


  • Recruitment and marketing: Overseeing admissions progress, including tracking applications, assigning applications for review, and submitting application decisions; working directly with principals from city schools to encourage applications; Create promotional materials, update the website as needed, and send out the newsletter


  • Partner with Development & Alumni Relations to enhance program alumni and school alumni relationship.

  • Perform additional duties as assigned.






Qualifications



ESSENTIAL:


  • A Bachelor's degree and 3-5 years of experience is required, or equivalent combination of education and experience

  • A commitment to strong, positive service in support of students, faculty and program team members.

  • Excellent interpersonal, collaboration and communication skills.

  • Excellent writing and editing skills.

  • Attention to detail and ability to maintain organized information.

  • Strong computer proficiency with database management and willingness to learn new software.

  • Ability and enthusiasm to work closely and effectively in professional capacities with various constituencies is needed, including professional graduate students, regular and part time faculty and staff in various operational areas (admissions, facilities, financial aid, registrar, business office, etc) within Penn GSE and from across the University along with visiting presenters, and school district personnel.





PREFERRED:


  • Experience with budgeting, event planning and knowledge of PK-12 education.

  • Experience with university-based educator preparation programs and availability one Saturday per month.
