The Accounting Coordinator is an organized, muti-tasker with strong administrative and time management skills. This individual is responsible for the organization's mailings, check printing, keeping accurate records of incoming and outgoing payments, check and document review, processing bank deposits, data entry, answering inquiries, and research. Additionally, the Accounting Coordinator will assist the accounting team with various tasks as needed.
Accounting Support
Support all mail and documentation processing, including returning incorrectly addressed mail to Admin & Facilities team
Scan and distribute all carrier payable statements to the Carrier Payable email address
Scan and distribute all vendor bills to the Vendor Payable email address
Process all incoming and outgoing checks daily
Record and provide all live checks to appropriate designated internal team daily
Communicate with Clients and/or Carriers on where to properly send payments
Verify proper documentation is included with all outgoing check payments (Carrier, Vendor, Client Refunds, TPA, Etc) and ensure check accuracy
Prepare all FedEx overnight mailings in support of the accounting work streams (Vendor Payable, Carrier Payable, TPA, Etc)
Work with carriers, vendors, and internal teams to resolve accounting-related changes and/or issues
Pull Carrier statements from web portals
Review shared mailboxes to allocate e-mails to specific team members
Make changes in Agency management system (Epic) to assist Direct Bill Commission team with their statement reconciliation
Audit Concur expense reports for accuracy and approval or work to resolve issues with internal colleagues
Other accounting duties and projects as required
Data Integrity & Quality
Maintain accurate and complete client data in manual files and agency management systems
Consistently achieve data integrity and meet activity timeliness, quality metrics, and goals
Utilize internal resources for identified processes to ensure efficiency and consistency in execution
Peer Relationships
Provide feedback and share information at team meetings
Develop successful and effective working relationships with Accounting team, Producers, Account Executives, Account Managers, service team members, managers, carriers, vendors, and members of other departments
Communicate effectively with peers, service teams, Account Executives and Producers with providing timely and complete information to allow them to effectively manage service execution
Required
Detail-oriented with excellent organizational and time management skills
Good interpersonal skills and high sense of urgency
Proficiency with Microsoft Office
Preferred
2+ years Accounting experience
Prior experience with Applied Epic
Prior insurance industry experience helpful, but not required
AS/BA in Accounting or related field, preferred
