We are seeking highly organized and detail-oriented Document Management Specialists to join our team. This role will primarily focus on overseeing the efficient handling of both physical mail and documents within the mailroom and document management system.
Location: Saint Paul, MN (100% in office)
Pay Rate: $16.50 per hour
Hours: Monday-Friday 7:30am-4:00pm
Duration: Temporary to Hire
JOB RESPONSIBILITIES
Sort, route, and distribute incoming and outgoing mail and packages in a timely and organized manner.
Organize and maintain physical and digital files, ensuring proper storage, retrieval, and archiving of documents.
Monitor and manage document flows, ensuring documents are stored securely and in compliance with company standards.
Coordinate with external carriers and couriers to manage deliveries and shipments. Ensure all mail-related tasks are completed accurately.
Handle confidential documents and materials with discretion, ensuring all document management activities are in line with company privacy policies and regulatory requirements.
Work closely with other departments to ensure the timely delivery of documents, packages, and materials.
QUALIFICATIONS
High School Diploma or GED required.
Prior experience in a mailroom, office administration, or document management role is preferred.
Pre-employment background check and drug screen required.
Strong organizational skills with an ability to manage multiple tasks simultaneously.
Attention to detail and accuracy in sorting and managing documents.
Proficient in using office equipment (e.g., fax machines, copiers, scanners) and document management software.
Excellent communication skills and the ability to work independently or as part of a team.
Ability to maintain confidentiality and handle sensitive materials responsibly.
