Responsible for handling simple to complex leave administration, advising and educating people leaders, interpreting policy and regulations, and assisting personnel for assigned leave and/or ADA cases. Handle sensitive and confidential information discreetly and confidentially. Consult with supervisor and HR leadership regarding leave status, questions, etc.



Essential Responsibilities:



  • Interpret and administer leave programs and policies in accordance with the applicable federal and multi-state employment laws, including FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.

  • Research eligibility for each leave occurrence based on employee location, length of service, relationship to family member, medical certification information, and make recommendations on leave approval/denial.

  • Utilize leave of absence and ADA tracking system, following established workflows, completing to-do steps, generating leave packets and other communications to ensure timely completion of all tasks and maintaining compliance with all necessary timelines. Work collaboratively with other members of the leave of absence team to provide assistance or coverage of their assigned cases in times of increased workload, absence, etc.

  • Administer the protected leave process from the employees' initial notice of the need for leave, to the return to work. This includes tracking, gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

  • Establish and maintain professional relationships. Provide timely and effective communication with managers/leads, HR Business Partners (HRBPs), and HR leadership regarding employee leave status and/or modified work schedules. Ensure that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  • Guide employees and supervisors through entire leave process. Advise managers/HRBPs and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.

  • Work with employees and supervisors to properly code protected leave in leave of absence system.

  • Monitor hours used and leave expiration. Work with employees on leave to coordinate their return to work and notify supervisors with details. Oversee and coordinate necessary medical release forms and other documents in the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).

  • Maintain up-to-date knowledge on legal changes related to leave, benefits, time and attendance, and other human resource topics to ensure proper compliance in our various states.

  • Recommend revisions to company leave process and policies to ensure compliance with federal, state, and local laws and regulations.

  • Work with supervisors to ensure compliance with time-keeping and attendance policies.




Supporting Responsibilities:



  • Provide customer service to internal and external customers. Provide backup to other HR staff members as needed.

  • Meet department and company performance and attendance expectations.

  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.

  • Perform other duties as assigned.




SUCCESS PROFILE




Work Experience: Minimum of 3 years of experience in Human Resources or related field, with 2 years of leave of absence experience required. Experience with AbsenceTracker preferred.



Education, Certificates, Licenses: High school degree or equivalent required. Bachelor's degree in Human Resources, Business Administration or related field preferred.



Knowledge: Excellent written and verbal communication skills, excellent interpersonal skills, strong organizational skills, time management, analytical/problem-solving, and attention to detail. Ability to maintain strict confidentiality with respect to employee related sensitive issues. Requires ability to define and prioritize problems and manage workload. Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable state and federal laws. Ability to read and interpret company policies and procedures. Proficient in Microsoft Office Suite or similar software.
