Job Title: Vice President, State Operations



Department: State Operations and Programs



Reports to: Vice President, Mission Advancement, State Operations & Expansion

Position Overview: The vice president, state operations, supports the senior directors, state operations in directing all state operations and programmatic management efforts. This support provides oversight and structure to state needs and the organization's ability to continue expanding to the remaining states that do not yet have state staff/offices. The objective of this role is to ensure the existing state offices are excelling in areas of staffing, meeting revenue goals, and delivering robust programs.



Job Requirements



  • Bachelor's degree and at least eight years progressive experience in staff management, fundraising, and strategy development

  • Superior initiative, drive for results, and self-assessment skills, and ability to lead individuals and teams in setting and achieving challenging goals

  • Superior project management skills - including planning, analysis, decision making, and problem solving - and willingness to multitask

  • Superior communication skills, both oral and written, with the ability to train and mentor staff as well as lead staff training workshops

  • Must be highly dependable, lead by example and be willing/able to adapt communication style to fit the situation and facilitate cross-departmental strategies

  • Superior persuasive writing and presentation skills with the ability to exert influence, inspire others, and articulate the mission, goals, and activities of Best Buddies with passion and enthusiasm



  • Ability to create, research and implement new systems and ideas independently.

  • Knowledge of industry trends in operations and staff management.

  • Proficiency with Microsoft Office, CRM platforms, and database management systems


Job Duties included, but are not limited to:



Programs



  • Work with the
    Vice President, Mission Advancement, State Operations & Expansion
    and Mission Pillar teams, to identify and support training needs and opportunities in the field to strengthen and grow programs and advise on strategies for roll-out of new programmatic and field initiatives

  • Collaborate with
    Vice President, Mission Advancement, State Operations & Expansion
    and Mission Pillar Senior Directors, on strategic planning for long-term organization-wide programmatic goals and partner in developing the resources to support those goals


Development



  • Support the Vice President, Mission Advancement, State Operations & Expansion in ensuring the appropriate implementation and tracking of fundraising initiatives and special event projections, reconciliation of event budgets and provide guidance and feedback on operational processes associated with development initiatives

  • Work with the Senior Director, Foundation Grants on operational and staffing components of proposal templates for funding projects, provide guidance on grant budgets and training for grant writers on utilizing grant budget templates for proposals

  • Develop staffing and budget templates for government proposals

  • Monitor grant spending for government awards and support strategies for effectively utilizing grant funding for capacity building projects


Operations



  • Support field staff training initiatives at SLC, LC, and Leadership Summit

  • Work with senior directors, state operations, to create state staff training and professional development best practices around field operations

  • Work with the HR team on strategy to support the roll out of new initiatives like GPS for Leaders and the New Managers training

  • Work with the senior leadership team to determine the overall strategic direction for state operations and lead execution plans in the field

  • Identify best practices in field operations and provide guidance on national implementation

  • Work with
    Vice President, Mission Advancement, State Operations & Expansion
    on the transition strategy for new states emerging from expansion efforts

  • Audit effectiveness of operational processes in the field, reviewing procedures to continuously improve efficiencies and ensure alignment with the finance and operations department


Finance



  • Work with the
    Vice President, Mission Advancement, State Operations & Expansion

    to oversee the state office annual budget process; work with the senior directors, state operations throughout the budget cycle to ensure efficiency and accuracy in budget compilation

  • Review monthly projections and identify gaps to properly forecast budget shortfalls in advance and work with senior directors on strategies for cost savings and revenue opportunities

  • Ensure funding spreadsheets are up-to-date and audit budget templates for accuracy

  • Work with the Director, State Operations and Mission Advancement to produce training videos and presentations to simplify digital platforms and financial processes to make them more user-friendly


Human Resources



  • Supervise and mentor the Senior Directors, State Operations as they work with their teams to ensure the overall success of the operations, programs, and development efforts in the state offices

  • Provide meaningful performance feedback to staff to support their individual development and success, as well as hold them accountable for meeting all development and operational goals, hitting benchmarks, and following best practices and guidelines.

  • Inspires and motivates staff by demonstrating personal commitment and integrity and providing proactive training, support and recognition.

  • Oversee the hiring and training of Senior Directors, State Operations

  • Support the recruitment and on-boarding process for new state directors

  • Support field staff recruitment efforts and strategies
