DESCRIPTION

We are seeking a Project Manager Assistant with a strong financial background to join the team in New Jersey. As a Project Manager Assistant, you will play a crucial role in ensuring the successful planning, execution, and completion of our projects. You will be responsible for providing support to Project Managers and projects through its life cycle including project analytics. Support will include financial information for projects and proposals, price estimates, weekly, monthly, and annual budget process support, audit requests (external and/or client) or specialty projects requested by accounting and the business management team.

Essential duties and responsibilities include:

Financial Analysis and Reporting:


  • Track committed and actual expenditures, reconciling actuals with estimated costs. Prepare and update monthly Cost To Complete (CTC) reports and Project Status Reports.
  • Maintain projects within Oracle through budget and funding updates as needed.
  • Develop cost forecasts and analyze variations against project baselines.
  • Investigate cost inconsistencies and booked charges, providing detailed reports on cost and schedule variances.
  • Track status for contract completion, burn rate, available capacity, and renewal for IDIQ/On-Call task order-based contracts.
  • Gain a working knowledge of the financial components of a project in an effort to understand how to effectively monitor weekly and monthly.

Support and Coordination:

  • Review, revise as necessary and approve monthly project invoices. Submit invoices per client procedures, including uploading invoices to client automated payment systems. Liaise with client as necessary to resolve any billing issues. Expedite the payment of any past due invoices.
  • Manage the administration of Subconsultant Contracts and oversee monthly invoicing.
  • Prepare Michael Baker Project Management Plans (PMP).
  • Assist Project Managers in developing and reviewing cost, schedule, and budget corrective action and recovery plans.
  • Ensure implementation of necessary action plans to address project deviations.
  • Provide financial documentation to support Change Order requests.
  • Collaborate with cross-functional teams to ensure project alignment with organizational goals.

PROFESSIONAL REQUIREMENTS

  • Bachelor's degree in Accounting, Finance, Business Administration, Engineering, or a related discipline. CPA preferred.
  • Minimum of 0-5 years of related experience in project controls, financial analysis, or a related field.
  • Proficiency in project management software and financial analysis tools.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of Microsoft Excel.
  • Experience with Oracle Project Accounting preferred

COMPENSATION

The salary range for this position is $68,900 - $90,000.
