The Special Events Associate works collaboratively with volunteer leaders and Advancement Team Members to plan and implement all aspects of the Foundation's signature fundraising gala, The Legendary Party. The Special Events Associate recruits, trains, and oversees the activities of the Shepherd Center Junior Committee. The Associate coordinates and oversees (volunteer and staff) prospecting and solicitation of sponsorships and in-kind donations to Foundation Signature events. The Special Events Associate coordinates volunteers and vendors to ensure that the events and campaigns are implemented in accordance with Shepherd Center standards and expectations. The Special Events Associate is responsible for planning and creating event sponsorship and peer-to-peer fundraising pages for the events through the Foundation's online giving platform. The Associate works collaboratively with the Advancement Team to plan and implement event social media, advertising, media relations and event donor relations and stewardship.


  • Manages and executes all aspects of signature fundraising events including logistics, vendors, committees, and volunteers to center expectations and on schedule.

  • In collaboration with the Research and Philanthropy Teams, works on identifying, creating, securing, and cultivating event sponsorships, and support from current and new donor populations.

  • Develops and manages the events' budgets, marketing plans and ensures fundraising goals are met.

  • Manage vendor relationships to ensure high-quality products and services; collaborate with stakeholders to assess vendor performance and monitor progress on vendor schedules and milestones.

  • Processes event vendor contracts and invoices for payment and maintains event financial records.

  • Update the donor database to reflect interactions with donors, participants, volunteers, including gifts and relevant communications.

  • Meets event fundraising goals and maintains expenses within 25% of Gross Revenue. Develop information with Public Relations staff to publish event information in Shepherd Center publications, social media, and in private media.

  • Works closely with Donor Services to coordinate event gift entry and acknowledgment and plans and implements event donor stewardship and recognition.

  • Along with Sustained Giving team members, processes Foundation gifts for deposit.

  • Provides administrative support to Cause and Community Engagement Manager and cross support to co-workers.

  • Maintain the highest levels of confidentiality of patient population, donor information and prospect research.

  • Participate in professional development opportunities to sustain and grow knowledge of philanthropic trends and expertise.

  • Complete all Shepherd Center core competencies and job specific competencies as specified in the employee's Skills Checklist.

  • Other duties as assigned.


REQUIRED MINIMUM EDUCATION :

  • Bachelor's Degree from a four-year college or university


REQUIRED MINIMUM CERTIFICATION:

  • None required






REQUIRED MINIMUM EXPERIENCE:

  • Minimum of three to five years of managing donor or corporate events and experience working in non-profit development, or a marketing related field.

  • Experience working with confidential and sensitive information preferred.


REQUIRED MINIMUM SKILLS:

  • Must have sound knowledge of the Atlanta Social and Business Community.

  • Exhibits strong customer service, organizational and time management skills.

  • Completes mandatory education and annual competency assessment requirements by determined due date.

  • Displays excellent team building, communication, and interpersonal skills and aptitude for conflict resolution and problem-solving.

  • Must be able to demonstrate good verbal and written communication skills and possess excellent attention to detail.

  • Computer skills in MS Office, Email and Social Media platforms.

  • Must be competent in the areas of financial analysis and special event planning.

  • Completes orientation and initial assessment of competency successfully by determined due date.


PHYSICAL DEMANDS:

  • General good health and mobility. Must be able to lift 25 to 50 pounds.


WORKING CONDITIONS:

  • Normal office environment with frequent interruptions. Occasional evening and weekend hours along with working offsite for events and meetings.
