SUMMARY



The Travel Specialist 1provides professional travel assistance and customer support for the bureau travel program.

Responsibilities




ESSENTIAL DUTIES & RESPONSIBILITIES



The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned.

  • Serve as Bureau of Consular Affairs point of contact for travel-related inquiries providing E2 technical support to the Bureau by email, by phone, and in person.
  • Make travel arrangements based on travelers' intentions and known preferences ensuring all preparations are in accordance with Federal and DOS Travel
  • Responds to E2 requests by phone and emails promptly.
  • Guides CA employees in processing premium class travel requests in E2 and documents all tasks and requests entered through E2.
  • Coordinates with staff and travelers to ensure E2 requests are addressed, solicits required information to process active request and periodically communicates status updates to requestors.
  • Interacts with a wide range of Consular Affairs officials, providing courteous and prompt customer service.
  • Assists in administering E2 travel minor customer and approval pools: adding, deleting, and reassigning travelers, travel arrangers, approvers.
  • Maintain E2 approval pools with and follow up with travelers to keep the Offices up to date.

  • Must be a US citizen who can possess or be able to obtain/maintain a minimum SECRET
  • Must have a High School Diploma and at least one (1) year of job-related experience or
  • Must possess excellent oral and written communication skills necessary to interface with program personnel at all
  • Must demonstrate a thorough knowledge of MS Office applications (MS Word, Excel, PowerPoint).
  • Ability to handle multiple tasks simultaneously.
  • Knowledge of office policies, practices, and procedures.
  • Must be able to work independently with minimum supervision and direction.

WORK ENVIRONMENT



Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.


Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.



SUPERVISORY RESPONSIBILITIES

ADDITIONAL QUALIFYING FACTORS



As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
