Description
The IT Technical Associate in the Registrar Office provides critical reporting and data analysis support for the institution's enrollment management efforts, which directly impact the financial well-being of the university. This position is responsible for developing, maintaining, and troubleshooting reports and queries based on student data from the University's Student Information System (SIS) and ancillary systems. Reports are used by various university stakeholders, including the Registrar, the Associate Vice Chancellor for Enrollment Management, academic departments, and other institutional committees. The role also encompasses system setup, data cleansing, and troubleshooting to ensure the integrity and accuracy of student data.
Key Responsibilities: Reporting & Data Analysis
Develop and produce routine and ad-hoc reports using SQL, Evisions Argos, Microsoft Power BI, and direct querying of Oracle student system databases.
Export query results to Excel for further analysis and create enhanced reports with formatting, tables, graphs, and charts.
Develop and maintain analytical reports and dashboards to support operational decisions related to enrollment and academic activities.
Perform business/data analysis and validation, ensuring the accuracy of student records and data integrity across processes.
System Support & Troubleshooting
Collaborate with the Associate Registrar to support and maintain the degree audit system (Degree Works), ensuring the accurate tracking and certification of degree requirements for graduate students.
Oversee system setup and ensure the accurate configuration of term/registration structures, tuition/fee rates, withdrawal/refund dates, grade processing, and student record accuracy.
Serve as a liaison with IT Services to resolve issues with reports, system configurations, and data integrity.
SIS System & Data Maintenance
Assist with data cleansing and evaluation throughout the academic term, including key processes such as Census, Cancellation, and End-of-Term grading and reporting.
Set up and coordinate Registrar processes, including but not limited to course-specific fees, rate codes, registration, and graduation reports.
Troubleshoot issues within the Registrar processes, working with stakeholders to ensure smooth operations.
Degree Audit & Curriculum Support
Take primary responsibility for the setup, maintenance, and development of the degree audit system, including encoding academic and curriculum requirements in Degree Works (DW), DW Scribe, and DW Student Educational Plans.
Code, test, and document complex programs for curriculum/requirements models and system upgrades in the SIS and/or Degree Works.
Work with the Associate Registrar to execute testing plans for system upgrades and newly applied releases.
Web Content Management & Training Support
Manage and update the Registrar's website using Cascade and HTML, including creating and modifying web pages, adding/removing files, and resolving broken links.
Serve as the liaison to Information Technology Services (ITS) and University Marketing for website-related issues.
Develop and deliver training materials for faculty, staff, and other users, ensuring they are well-equipped to use Registrar systems.
Provide troubleshooting support for Registrar Office staff regarding microcomputer systems, including hardware, application software, and system access.
Typical Qualifications
Minimum Qualifications:
Bachelor's degree OR an Associate's degree and 2 years professional experience in IT support
At least 6 months experience with maintaining, developing and testing one or more modules within a major ERP information system, preferably Banner.
Proficiency with computer reporting tools, preferably Argos, Power BI, and working knowledge of SQL as documented through coursework, training, and/or work experience
Working knowledge of Excel, MS-Query/Power Query, and preferably Access as documented through coursework, training, and/or work experience.
Preferred Qualifications:
At least 3 years work experience in higher education is preferred, including understanding of student records and related functions
Excellent organizational skills and oral and written communication skills
Excellent interpersonal skills required to accurately determine client needs
Ability to independently develop and organize data and reports that address management issues.
