Description

The Elliott Student Union Facility Coordinator is responsible for supervision, training, and providing ongoing development to the ESU student building operations staff of which includes Information Desk Staff and Building Supervisors. Under the supervision of the Union Facility Operations Manager will ensure high quality customer service, facility care, emergency preparedness and verify ESU/UCM policies are adhered to all while providing the best guest experience possible.

Examples of Duties

Operations to include - 40%:

  • Audits operational reports and tacks Union/Chapel work orders for building, equipment, and furnishings.
  • Demonstrates and maintains knowledge of building maintenance and custodial contacts.
  • Manages inventory control of tables, chairs, and other equipment used for setups within the Elliott Student Union as well as maintains inventory of equipment and supplies necessary for the daily operation of the Union.
  • Collaborates closely with Meeting and Conference Services and Union Setups to coordinate furniture removal in designated areas for upcoming events.
  • Oversees staff to ensure event rooms are opened on time for all events and setups and/or breakdowns are completed both accurately and in a timely manner.
  • Responsible for oversight of resetting food court and lounge furniture nightly to include but not limited to tables, chairs, lamps, portable signs, and exterior furniture.
  • Works collaboratively with the student and professional staff to ensure the successful and smooth operation of the Elliott Student Union which includes oversight of the building operations staff that ensures the Union and Alumni Memorial chapel are opened properly and secured at close (doors locked, lights off, etc.).
  • Provides for the safety of the building, its users, and the staff by enforcing Union and University policies, monitoring potential safety/liability problems including emergency procedures (fire alarms, severe weather, bomb threats, active shooter, etc.).
  • Provides positive customer service to building users and customers encountered.
  • Keeps the Union Facility Operations Manager apprised of building activities, recommendations, problems, etc.
  • Manages multiple concurrent projects and meets deadlines.

Supervisory and administrative duties to include - 55%
  • Recruits, hires, trains, mentors, supervises, and evaluates student personnel for the Union Information Desk and Union Building Supervisors.
  • Schedules shifts, reviews timesheets, approves time off requests and ensures that student employees are adhering to university policies and procedures relating to student employment.
  • Develops and implements audit routines to ensure compliance with internal and external requirements. communicates issues/problems to the Union Facility Operations Manager.
  • Assists in planning and implementing future staffing needs.
  • Makes recommendations for service based on customer feedback.
  • Provides administrative support including recordkeeping, filing, and managing supplies, contributing to the office’s overall efficiency.
  • Plans and provides student employee training dedicated to providing exceptional customer service that fosters positive interactions and aids in developing transferable skills to equip students for post-graduation endeavors.
  • Resolves inquiries or issues with professionalism and courtesy.

Professional development to include - 5%
  • Maintain and increase expertise through conferences and training sessions.
  • Participate in professional associations such as ACUI.

Typical Qualifications

Education:

  • Bachelor’s degree in business management or related field.
Education may be substituted for experience or experience substituted for education based on the following equivalencies: AA = 2 years; BA/BS = 4 years; MA/MA = 6 years; PhD = 8 years.

Experience:
  • Two (2) years of experience in facility operations or related field required.
    Supervisory experience preferred.
