What Will I Be Doing?
The Executive Reservations Coordinator will process reservations, calls, and foot traffic in a timely manner following Departmental Standards.
Specifically, this includes but is not limited to:
Answers reservations inquiries in a friendly and courteous manner.
Processes all group contracts from the Events Department.
Obtains data from various sources including (but not limited to) faxes, electronic messages and hand written lists. Enters group blocks into the compute and verifies correctness of data entered versus date received.
Process and handle group rooming lists and property direct group call in reservations by inputting data into the system.
Follows up with the Events or Sales team regarding questions that stem from groups. Monitors Group Blocks after they have been entered in the system.
Generates Group Pickup Report for review, discusses with the event or sales team beforehand, provides updates in weekly group pick up meetings and actions follow up items from the meeting.
Maintain professional and consistent communication with group contacts regarding upcoming cutoff dates, pickup progress and special requests.
Serves as liaison between HRW reservations for Reservations Call Center agents and Hotel employees regarding group room blocks. Assists with problems or concerns from guests as they pertain to group reservations within the hotel. Applies service recovery if needed.
Maintains suite reservation request process and inventory controls for specialty bed-types as they pertain to group blocks. Pre-assigns Group special requests to ensure guest satisfaction and to maximize revenue.
Work with and Pre-assign the house for VIPs, Diamond Members, Gold members, and Nor1 requests no less than 5 days in advance of every arrival date.
Revenue Management, Pick-up, Pre-Con and other designated meetings as required. Assists with Front Desk functions as dictated by business need.
Audits OnQ PM for reservations accuracy. Looks for special requests, coding issues and billing requirements.
Assists with taking care of incoming foot traffic and yield incoming phone calls accordingly, along with managing and monitoring executive mail and distribution list

Pay Rate: The pay rate for this role is $35 and is based on applicable and specialized experience and location.
