Job Description:

Position Summary: Billing Manager an owner of the billing process within the Engineering organization, their responsibility includes oversight of billing activities to assure meeting of weekly/monthly deadlines, tracking unbilled activity, reporting of weekly billings in comparison to budget, while working with operation teams to identify opportunities for improvements. Other duties as assigned. 

Duties & Responsibilities:


  • Manage and ensure completion of payroll/billing procedures to meet weekly deadlines. Including accurate and efficient entry of timesheets, verification of raise slips, coding for proper approval of cash expenses, validation of all work orders being invoiced, and invoicing of assigned unit billing jobs

  • Responsible for providing weekly reporting on teams billing activities, including unbilled and in progress transaction report including explanation of cause for transaction pending insight. This includes reporting of weekly billings against budget.  

  • Coordinates weekly meetings with regional contacts to assure timely billing submission and approval.  

  • Responsible for the Accounts Receivable process. Including unpaid invoices and correspondence with region contacts to collect, Accounts Receivable aging report, and application of unapplied credit and debit memos support to corporate office.

  • Ensure appropriate processes are established, documented and followed by billing staff internal and external audit purposes.

  • Manages staff related activities including recruiting, selecting, and orienting new employees; communicating job expectations, monitoring, and appraising job results, coaching; maintaining a safe, secure, and legal work environment

  • Maintains quality service by enforcing quality and customer service standards, identifying, and resolving problems, recommending process and system improvements

  • Special Projects as assigned by management

Requirements:


  • High School degree required, Associates or Bachelor’s degree preferred

  • Team managerial experience including resource management, work organization and delegation skills

  • Advanced technical capability, excellent problem resolution skills

  • Advanced knowledge of Microsoft Office products and accounting software processes (Excel, Word, Microsoft Great Plains/Solomon preferred)

  • Fluent understanding of office equipment – copier, scanner, etc.

  • Willing to work over-time as needed

  • Excellent communication skills, both spoken and written

  • Time Management

 

Physical Capabilities:

This position is largely a sedentary role; however, some filing is required.  This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
