Exciting opportunity to work as part of a team in a very busy ambulatory Neurology Practice. Under general direction of the Practice Administrator, the incumbent is responsible for the day-to-day Medical Assistant operations and processes of the Wang 8 Neurology Division, ensuring that productivity and quality standards are met by the medical assistant teams on Wang 8, 7, Yawkey 6B, and 165 Cambridge St. Provides leadership and direct supervisory support to the team members. Provides and supports professional development opportunities to team members. Ensures that patients and other customers are serviced efficiently and effectively.
Able to fulfill roles and responsibilities of Medical Assistant I II and III roles in Neurology.
Responsible for ensuring smooth daily functioning of the team and able to work in any capacity that the team needs to ensure that service level remains acceptable; including doing vitals, providing super user skills to MA's and providers. Problem solving coverage
Responsible for human resources management of staff in the areas of recruitment, hiring, orientation and training of employees, also ensuring the functioning of the MA externship program.
Provides coaching and mentoring to team leader(s) and team members to improve operational effectiveness and quality.
Provides leadership and direction and encourages teamwork. Facilitates interactions amongst his/her team and works to maintain good morale. Leads daily huddle.
Consistently monitors progress and provides feedback on team member performance. Administers corrective action for less than acceptable performance and/or other issues.
Responsible for the performance management of employees including implementing corrective action when needed and completing performance appraisals. Escalates issues to Practice Manager where needed.
Oversees the management of the department's payroll within Kronos, including the resolution of payroll issues.
Identifies system and operational problems through analysis of current processes. Recommends solutions and improvements. Participates in department- wide improvements. Participate in all pilot's programs and ascertain they are carried out effectively in clinic.
Assists in the development and communication of department policies and procedures. Communicates and implements department policies and procedures to all employees and makes recommendations for revisions. Provides oversight for the implementation of new initiatives and processes.
Develops and maintains schedules and forecasts workloads and staffing requirements for Practice Manager approval. Restructures staffing patterns to meet any changing needs of the department.
Assists with and responds to escalated patient feedback. Investigates and resolves complaints, questions and concerns.
Works closely with Practice Manager to ensure team efforts are aligned with departmental goals.
Running monthly reports, overseeing Epic inbasket and prescription lines.
Qualifications
Associate Degree or equivalent experience
2-4 years prior related healthcare experience
Proficient with office software packages such as word processing, spreadsheets and database management
1-2 years supervisory experience strongly preferred
Knowledge of medical terminology preferred
Knowledge of managed care plan requirements preferred
Excellent Customer Service skills
