Working in the Director's Office, this position will gain exposure and work with a collaborative team of creative professionals who believe in the power of the arts to transform lives. Reporting directly to the Manager of Strategic Initiatives and Belonging, this position ensures the smooth and efficient operation of the Director's office as well as providing high-level support to the Howard Gilman '44 Executive Director.

Bachelors or equivalent combination of education and experience
- 1-3 years of experience supporting a leadership position.- Excellent interpersonal skills and ability to deal articulately with a diverse range of people.- Strong organizational skills and ability to balance priorities and meet deadlines.- Initiative, sound judgment and ability to work independently.- Strong writing, detail editing and proofreading skills.- Technologically savvy in the use of computers, applications, databases, tablets and smartphones.- Availability and willingness to work occasional weekend and evening assignments.- Commitment to diversity and to serving the needs of a diverse population.- Adept at handling confidential information with excellent judgment and discretion.- Willingness to utilize all forms of communication to ensure efficiency and expediency.- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams), Adobe Acrobat, Zoom and cloud-based applications.- Flexible, creative, self-motivated and willing to work extended hours on occasion.

Coordination and Administrative ManagementThis role serves as the first point of contact for the Hopkins Center Director's Office as it relates to directing inquiries and monitoring communication. The coordinator supports the Manager of Strategic Initiatives and Belonging as well as the Senior Development Manager in implementation of initiatives, projects, and events that may include logistic planning and execution. May manage, track and/or coordinate calendars, deadlines, pending items; communicating with appropriate stakeholders to ensure consistent and efficient workflow and completion of tasks in a timely manner. Anticipates and proactively manages preparation and follow-up for meetings, events, and programs. May participate in staff and business development meetings, taking minutes, and ensuring timely and accurate completion of action items and dissemination of information. Provides support through external communication; data entry into and maintenance of institutional CRM tools; ensures accuracy and integrity of internal and external communications and data.

Executive Administrative SupportThe Administrative Coordinator provides regular support for the Executive Director as it relates to scheduling, daily itineraries and all of the Executive Director's communication. This role provides the Executive Director with a first line of communication for all internal and external stakeholders, including all levels of Dartmouth College as well as the national and international performing arts field. Supports meeting and event organizing including logistics, communication, preparation and distribution of relevant documents as well as note taking and meeting follow up. Responsible for organizing business and development travel including travel booking, detailed itineraries and expense reconciliation on behalf of the Executive Director and relevant guests. Duties may include planning and organizing of special events; data entry; preparing correspondence, lists and other administrative support related tasks. Provides or arranges technical support for the Executive Director, including upgrades for software applications as well as coordination of technology within the Director's Office. Provides a bridge for smooth communication between the Executive Director and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff. May manage or supervise student assistants, including training in data entry and general office duties.
