Description:

We are seeking a dynamic, proactive, and detail-oriented individual to join our team as a Training Coordinator. In this role, you will collaborate with the current Training Coordinator, Business Development Manager, and QCS Managers and Field staff to streamline the management, tracking and research for employee certifications.


The Training Coordinator needs to be skilled in communication, scheduling, organizing, and overseeing training sessions. Day-to-day tasks include registration requirement research, managing registrations, tracking data, arranging logistics for multi-day training, and ensuring compliance with certification requirements. The Training Coordinator will learn the processes used in Virginia for scheduling, researching, and tracking employee certifications and assist with implementing a uniform process for each state where employee certifications are required. This position requires self-driven and proactive individuals to maintain accurate and up-to-date training records and certification documentation while also tracking upcoming certification expirations. Collaborates effectively with employees, managers, and external training providers to ensure seamless training experiences. Adept at working cross-functionally with marketing and proposal departments to maintain current employee resumes and participate in Proposal Kickoff meetings to answer certification questions from the team. Committed to supporting employee growth and development to drive organizational success. Additionally, the Training Coordinator will travel as needed to assist with conferences or marketing events to explain the necessary certifications to possible clients and employees.

Requirements:

Essential Functions

  • Learn and implement processes for scheduling, researching, and tracking certifications for Virginia and assist in establishing uniform processes for other states.
  • Register, track, research, and coordinate employee certifications in collaboration with the current Training Coordinator, managers, and field staff.
  • Working with managers and State certification staff to determine necessary employee certifications
  • Assists employees in the registration process for their required job-related certifications.
  • Keeps track of the expiration dates of certifications.
  • Maintain accurate and up-to-date records of employee training and certification status.
  • Develop and maintain training calendars to ensure that all employees receive the required training in a timely manner and are aware of any upcoming training that they need to take.
  • Stay informed about industry trends and best practices in training and development.
  • Assist in developing and delivering training materials and programs as needed.
  • Work with the business development department to ensure that all employee resume certifications are accurate and up to date in resumes.
  • Arrange logistics for multi-day training and ensure compliance with certification requirements.
  • Work with the Business Development team and managers to provide certification statistics and additional data for proposals, annual bonus reviews, and marketing materials.
  • Attend Conferences and Events as needed with the Business Development team
  • Planning internal certification training events with QCS internal certification trainers

  • Excellent verbal and written communication skills, with the ability to work effectively with employees at all levels of the organization: A Training Coordinator needs strong communication skills to effectively convey training information, instructions, and expectations to employees. They also need to be able to listen actively to understand the training needs and concerns of employees and managers. Clear and concise written communication is essential for creating training materials, manuals, and communications.
  • Excellent organizational skills and attention to detail: Organizational skills are crucial for a Training Coordinator to assist with the management of multiple training programs, schedules, and records simultaneously. Attention to detail is essential for ensuring accuracy in training materials, records, and communications. This includes tracking certification expiration dates, updating training calendars, and maintaining thorough documentation.
  • Knowledge of training requirements, training best practice and industry trends.
  • Ability to manage multiple tasks and deadlines effectively.
  • Self-driven and proactive.
  • Proficient with Microsoft Office Suite

Supervisory Responsibility

This position has no supervisory responsibilities.


Required Education and Experience

  • High school diploma or equivalent required.
  • Experience in coordinating training programs, managing training logistics, and maintaining records.
  • Familiarity with certification processes and requirements is a plus.

This job operates in a professional office environment with work-from-home flexibility when approved by the current Training Coordinator and the Business Development Manager. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, use hands to type, finger, handle, or feel, and reach with hands and arms. The employee also requires the ability to lift office products and supplies up to 35 pounds occasionally.


Position Type/Expected Hours of Work

This is a Full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 PM. Flexible schedules are permitted with prior coordination and approval from the current Training Coordinator and Business Development Manager.


Travel

Travel is primarily local during the business day, although some overnight travel will be required to attend conferences and training events and meet with out-of-area staff as needed. Must have a valid driver's license.
