Under the direction of the Director Benefits and Employee Well-being, the Events Coordinator is responsible for planning, organizing, and executing a variety of events, ensuring they meet the organization's objectives and are executed smoothly.
RESPONSIBILITIES:
Primary liaison to the Events, Conferences, & Support Services team to deliver all employee recognition events; including events such as the staff service awards, semiannual retirement and Dunlora receptions, multiple large employee recognition events, etc.
Collaborate with Director of Benefits and Employee Well-being for employee well-being and other HR related events such as Corporate Run, Spider Dash, Business Affairs annual gathering, Benefit Fairs, etc.
Collaborate with stakeholders to determine event goals, budgets, and logistics.
Track event budgets, expenses, and financial reporting to ensure cost-effectiveness.
Work with the Events representative to ensure all logistical aspects of events, including venue setup, catering, audio-visual needs, and transportation.
On occasion may need to research and liaise with vendors and suppliers; negotiate contracts and ensure quality service delivery
Works with the Communications Specialist to create promotional materials, invitations, and reminders to communicate event details to target audiences, collaborating with HR Communications.
Provides on-site support and coordination to ensure events run smoothly, troubleshooting any issues that arise.
Gather feedback from participants and stakeholders; prepare reports to evaluate the success of events and identify areas for improvement.
Develop and maintain relationships with clients, vendors, and attendees.

Proficiency in Microsoft Office applications and Adobe Creative Suites
Detail oriented with demonstrated skills in effectively anticipating and organizing work priorities to meet and manage multiple pending deadlines and priorities
On occasion, ability to work flexible hours, including occasional evenings and weekends as needed.
EDUCATION & EXPERIENCE:
High school diploma or GED required. Bachelor's degree preferred.
2-4 years Events experience.
WORK HOURS:
Part-time, non-exempt position
Business hours are Monday - Friday, 8:30 a.m. - 5:00 p.m.; flexible schedule; approximately 20 hours per week
This position is limited term with an anticipated end date of 12/31/26
SALARY STRUCTURE:
Pay Grade 5 (Hiring Range $19.72 to $26.13 per hour)
