This position will contribute to the success of University Human Resources (UHR) by providing key administrative activities and operation support for various functions in UHR. There is an expectation that the person in this position will maintain effective, civil, and respectful working relationships with the University of Iowa campus community and uphold UHR's commitment to creating welcoming and respectful environments for all.
Specific Job Duties and Tasks
Primary support for assigned senior leadership team members. Backup support for Chief Human Resources Officer and Associate Vice President.
Manage complex calendars with multiple conflicts involving senior leaders on campus.
Coordinate meeting agendas, including time plans, and collect necessary content from key stakeholders.
Provide administrative support for the faculty investigation process, including scheduling interviews with parties and witnesses.
Maintain resource/document information site for use by Senior HR Leaders, including access.
Provide administrative support to other areas within University HR as needed.
Coordination and oversight of event planning for various events, including annual all-staff luncheon, staff and leadership retreats, etc.
Assist with conflict-of-interest compliance, tracking plans, sending annual reminders, and initiating workflow and communications to departmental designee.
May assist other units on campus with processing I-9's during busy times (e.g. start of the semester)
Provide backup for UHR Admin Service webpage.
Utilize HR reporting systems for data management of sensitive information, utilizing good judgement and professionalism, while maintaining confidentiality.
Oversight of internal rewards and recognition program for UHR staff, including correspondence and processing requests.
Maintain staff lists for campus-wide HR community and CUPA-HR membership.
Draft, edit, and disseminate correspondence to communicate with campus community members on behalf of senior leadership.
Education Requirement
A Bachelor's degree in Human Resources, Business, or other related field, or an equivalent combination of education and experience.
Required Qualifications
Experience (a minimum of one year) providing a full spectrum of administrative support duties for senior leadership.
Demonstrated competence in managing multiple complex calendars in a large, multi-faceted organization. Must be able to resolve conflicts and see "big picture" timelines while focused on details.
Superior attention to detail, including excellent composition, editing, organizational and prioritization skills.
Customer service experience.
Excellent verbal and interpersonal communication skills.
Experience with planning, organizing, and implementing events.
Extensive experience utilizing a variety of software including but not limited to Microsoft Office Suite (eg. Outlook, Word, Excel, Powerpoint).
Desired Qualifications
Familiarity with advanced scheduling concepts and platforms.
Experience (2 or more years) providing administrative support to executive level leaders in a complex organization.
Working knowledge of institutional and departmental polices, processes and forms.
Experience with Drupal or similar web-editing software.
Experience developing and implementing basic surveys using Qualtrics or similar survey tool.
