We are looking for a Director, Project Management (DPM) to join our A-team (hybrid*/remote). As a DPM at Allucent, you are responsible for managing Project Managers (PMs) and/or Associate Project Directors (aPDs) and supporting them in the execution of tasks and/or projects to ensure service delivery as per the requirements, high standard of quality and within contractual budget and timelines. This includes resource and performance management in order to maintain sufficient, qualified, competent and well-coached PM team. The Director Project Management (DPM) is actively involved in department and CTO related procedures, systems and deliverables in order to achieve a high performing team, and provide quality in the project specific service deliverables, and as a result, contributes to Allucent reputation and growth. The DPM is also driving the implementation of new services and approaches. The DPM drives quality improvement activities as a result of audits / inspections / quality incidents / project issues / metrics /key performance indicators (KPIs)/ trends observed and may support business development activities and CTO cross department initiatives. The DPM manages and supports PMs and/or aPDs, in their career development. The DPM may act as Project Director (PD) on project(s) in order to maintain on the job and system knowledge and experience following Allucent SOPs, Policies, and Work Instructions (WIs).
In this role your key tasks will include:
Line manages a group of ~8-10 PMs and/or aPDs (direct reports) and conducting regular one-to-one meetings or calls with allocated direct reports.
Manages direct reports to the core values of Allucent to ensure optimal focus on departmental goals that are entered in ADP (Annual Performance Review system).
Provides training, expertise, guidance, advice, support and motivate project teams in the management of the assigned clinical trials.
Assists with Allucent internal training as needed and when required.
Ensures that best practices, lessons learned, and tools are developed and shared within project management team to achieve efficiency and quality.
Accountable for the performance of direct reports & oversees the KPIs for their studies, identifying potential high-risk areas and assisting in development of mitigation strategies.
Ensure studies managed by their direct reports are performed in good quality, compliant with the applicable SOPs and WIs, within budget and as per the timelines agreed with the client.
Mentors direct reports in client relationships.
Determines and standardizes core responsibilities, skills and experience required for the PM/aPD role in their different levels across Allucent.
Reviews and updates the PMs, and/or aPDs Job Descriptions as required to keep up with company changes and ensures that they include the responsibilities assigned to PM/aPD on Allucent SOPs, Policies, and Work Instructions (WIs).
Determines the requirements for promotion from other roles into PM.
Participates in project management and corporate initiatives supporting the development of the PM/aPD role at Allucent.
Oversees financial health of projects of the PMs. Review of financial reports, forecasting and revenue recognition per departmental goals set for each PM. PD is accountable for the financial health of the project, however the Line Manager of the PM reviews financial health with direct report and determines actions to improve the metrics.
Assists in the review of proposals, attends bid defense meetings (if needed), and prepares direct reports for bid defense meetings.
Manages in collaboration with other applicable departments:
Resource forecasting needs in resource tool and resource allocation on existing and new projects and requests for proposals/bid defense meetings
Recruitment activities: opening PM/aPD job requisitions, participates in candidate interviews and evaluations, provides support in hiring decision).
Staff workload management: assesses allocated workload, reviews the budgeted and recorded hours to ensure they are within acceptable working limits for active studies for their direct reports.
Manage contractors: includes the entire process from recruitment to onboarding, oversight, engagement and performance.
Supports analytics and reporting of staff utilization and profitability.
Support staff onboarding as required & probation period evaluation.
Performance management: setting goals, mid-year and end-year evaluation, management of underperformance. • Staff career development and promotion.
Staff succession planning as well as staff retention and engagement; review of work life balance; ife balance; reasons for absence and involve P&C if needed; Monitors employee utilization and workload, and overtime hours.
Develops and provides role specific training.
Liaises regularly with Department Heads, Managers in Global Clinical Operations and, when applicable, sponsors, on project issues and for resolution of team conflicts or enhancement of performance as well when needed with cross functional leads or managers. Any action should be coordinated with PD of the relevant project.
Supports CTO across department initiatives.
Act as back-up for direct reports.
Assures good communication and relationships within CTO and other stakeholders in the company.
May support internal strategies and developments to support a solid framework of operation required for the execution of the CTO service deliverables.
As needed, participates in audits / inspections and driving department corrective actions.
Acts as PD on appropriately sized project assignments in order to maintain on the job and system knowledge and experience following Allucent SOPs and WIs.
Other responsibilities as required.
Requirements
To be successful you will possess:
Minimum Bachelor’s degree in life science, healthcare and/or business degree.
Minimum 8 years of PM, PD, and Line Management experience.
Expert knowledge of ICH-GCP(R2), data and patient privacy practices, and applicable (local) regulatory requirements.
Working knowledge of computer systems, applications and operating systems, including 21 CFR Part 11 and data privacy (HIPAA/GDPR).
Extensive clinical trial experience, with at least 5 years of direct project/program management experience.
Expertise with clinical trial delivery processes enabling the application of a data driven approach to advance clinical trial delivery solutions.
Financial and business acumen, administrative excellence, and analytical skills.
Strong experience managing all phases of global, full-service clinical trial delivery lifecycles (Start-up, Maintenance, Close-out).
Able to earn trust quickly in client and team settings based on skills, experience, and knowledge of Allucent service offerings.
Demonstrated ability to maintain effectiveness in a changing environment.
