Princeton Materials Institute (PMI) seeks a highly motivated individual to serve as Purchasing and Financial Coordinator. Reporting to the Business Manager, the successful candidate will support activities related to procurement and logistics, business administration, and financial and non-financial operations.
PMI is an interdisciplinary teaching and research institute at Princeton University that seeks to integrate the sciences and engineering, with work spanning from fundamental theory, through applications and entrepreneurship. In addition to interacting closely with other departments and centers at Princeton University, the Institute collaborates extensively with industry, government laboratories, and other academic institutions.
Responsible for purchasing-related activities including requisition approvals within delegated threshold, processing of shopping carts, match exceptions, blanket POs, PO change requests, and new supplier requests.
Monthly review and monitoring of open PO encumbrances, ensuring procurement obligations are accurate and that POs are closed out on a timely basis.
Monthly reconciliation of departmental general ledger working closely with the Business Manager to perform general accounting activities including cost transfers and preparation of financial reports in a timely manner.
Maintains Capital Asset inventory and WorkCenter, and serves as the Institute’s Capital Asset liaison. Be the point contact for PRISM and other departments regarding any questions on assets within PMI physical locations and electronic records.
Assists with the preparation of Concur expense reports for PMI Facility Directors and Executive Director.
Provides support for shared facilities activities (running reports, processing data from such reports for the Director and Executive Director) and backs up the Recharge Center Coordinator as needed.
Other administrative duties as assigned, including working with all PMI staff members to assist in getting ready for events such as the Nature conference, the annual PMI symposium and others.
Bachelor’s degree or equivalent 2-3 years of working experience.
Ability to take initiative and assume responsibility to follow through on assignments and meet timelines.
Excellent communications skills when working with PRISM and other departmental staff, graduate students and faculty.
Ability to work independently with strong problem-solving skills, attention to detail and data, ability to handle multiple tasks on a regular basis.
Team player – be able to act as backup when necessary and support organization mission and goals when required to do so (e.g. Administrative support at annual PRISM symposium and other internal events)
Proactive approaches in problem solving and following through on reports, procurements, new suppliers.
