Job Summary:

To provide accounting support which includes performing all lifecycle activities for paying of all invoices, recovering IT costs, and performing interdepartmental transfers. This position requires the ability to exercise initiative and independent judgement, including working effectively with all levels of staff, faculty, and administration.


Essential Duties and Responsibilities:

Responsible for all invoice payment for OIT including:


  • Payment of invoices.

  • Track deliverables and time left on purchase orders.

  • Work closely with IT service owners and Accounts Receivable to identify the deliverables specified in the purchase order and authorize payments to vendors.

  • Prepare financial documentation


Support Accountant III with billing and cost recovery duties including:

  • ServiceNow tickets: assist customer regarding telecom billings charges/disputes, making sure the correct cost center and charges.

  • Updating of master spreadsheet: update the cost center and customer information to the mapping spreadsheet, update the monthly revenue report.

  • Submission of charges to Accounting department: review monthly charges for telecom billing and submit to Accounting department.

  • Issuance of Bill of IT statement monthly to customers: sending monthly statement to customers.

Responsible for all Interdepartmental Transfers (IDT's)

  • Creation in UT Share: create journal entry to charge back for Azure, ServiceNow license, visio/project license, and other as assigned.

  • Tracking of activity: update the follow up spreadsheet to keep track the revenue.

Performs other duties as assigned.
Minimum Qualifications:



  • Bachelor's degree in finance, accounting, or similar discipline and two years of experience in relevant field, or equivalent combination of education or experience.


Preferred Qualifications:



  • Bachelor's degree in accounting and 2 years of experience in higher education accounting.


Knowledge, Skills and Abilities:



  • Knowledge of PeopleSoft and Apptio for managing and tracking account expenditures and building service costing models.

  • Advanced proficiency in Microsoft Office suite of applications.

  • Advanced proficiency with document management software, such as Adobe Sign

  • Knowledge of economic and accounting principles and practices and the analysis and reporting of financial data.

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

  • Ability to perform active listening and give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

  • Talking to others to convey information effectively.

  • Communicating effectively in writing as appropriate for the needs of the audience.

  • Ability to apply mathematical reasoning to choose the right mathematical methods or formulas to solve a problem.

  • Ability to apply judgment and decision making to consider the relative costs and benefits of potential actions to choose the most appropriate one.

  • Ability to perform complex problem solving to identify complex problems and reviewing related information to develop and evaluate options and implement solutions.

  • Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.

  • Managing one's own time and the time of others.


Working Conditions:

Standard office machines, equipment capabilities and personal computer and CRT. Proficiency in the evaluations, observations, analysis, and reporting of financial data. Specific job requirements or physical location of some positions allocated to this classification, may render the position security sensitive, and thereby subject to the provisions of Section 51.215 Texas Education Code.
