Reporting to the Sr. Executive Directors of Development for both ACC and UPHS, coordinate all gift transactions and gift accounting for both teams. Oversee budget administration and financial transactions for the UPHS and ACC teams.


Specific Responsibilities:


1. Develops an understanding of the University's gift, financial and development systems, policies and procedures. Gains awareness of the educational, research, clinical, operational and financial needs and goals of Penn Medicine and their relationship to an effective gift system.


2. Responsible for organizing and maintaining confidential files and records associated with the fund raising activities of Penn Medicine Development & Alumni Relations.


3. Responsible for processing the high-volume of gifts received for the UPHS and ACC teams. Utilizes development database (Atlas) to retrieve and verify donor and gift information and update donor's bio information when necessary. Ensures adherence to schedules and procedures.


4. Provides information to inquiries from various constituencies concerning the various ways of making contributions to the Medical Center. Coordinates all financial transactions for UPHS and ACC. Utilize BEN financial system to place orders, create and manage purchase orders, facilitate sponsorship requests, perform journal and PRO card transactions. Works cooperatively with UPHS/ACC/PMDAR Business Administrators to follow University financial procedures and trouble shoot to help quickly and accurately manage UPHS/ACC/PMDAR financial transactions.


5. Works in conjunction with Gifts Accounting, PMDAR Business Administrator, ACC and School of Medicine Business Offices, various gift officers; Central Gifts Processing and the Treasurer's Office.


6. Researches, reconciles, and provides general quality assurance while serving as general troubleshooter for problematic gifts and financial transactions.


7. Executes and maintains reporting systems for budget/finance/gift needs, as appropriate.


8. Perform additional duties as assigned.



Qualifications: Qualifications:


1. Minimal high school diploma required, bachelor's degree preferred; gift, accounting or financial experience preferred.


2. Knowledgeable in Microsoft Office. Proficiency in Word and advanced Excel skills essential.


3. Ability to handle complex and highly confidential materials.


4. Five to seven years general office experience required. One year in Development setting highly desirable.
