Accounting Specialist | $20.26 to $25.33 Per Hour | Depending on Experience

Accounting Specialist Job Responsibilities:

Accounts Payable

  • Invoice processing to include data entry, document matching and check distribution.
  • Gift Card verification processing and updates for quality assurance needed in recon support.
  • Vendor maintenance and 1099 setup processing
  • Administer the company's travel report processing and document verification according to company policy, including per diems and travel advances.
  • Communicate with UMOS staff regarding travel reporting, including but not limited to providing stellar customer service both internally and externally, guiding employees through issues and providing status updates.
  • Accounting Operations

  • Perform monthly GL reconciliations and resolutions.
  • Post GL journal entries related to GL reconciliations and in support of PR/AP Manager.
  • Provide reconciliation support for company credit card statements.
  • Distribute annual audit report to applicable funders and interested parties.
  • Coordinate annual employee insurance card requests and maintain electronic file.
  • Coordinate annual employee signature authorization forms and maintain electronic file.
  • Assist with assigned bank deposit and other bank verification processing.
  • Employee data elements set-up on the company intranet for expense reporting.
  • Assist department with gathering documents and financial schedule updated required for grantor monitoring and UMOS' annual audit.
  • Assist with duties needed in monthly financial close.
  • Maintain UMOS' financial records, storage and filing in accordance with its record retention policies and procedures.
  • Perform additional accounting or administrative tasks as may be required, often on short notice by the accounting staff, Deputy CFO or CFO.
  • Process supply orders for the department.
  • Attend meetings, conferences and workshops as assigned.
  • As needed, other duties as assigned as appropriate to and correlated with position and responsibilities.
  • Assist with other department projects and audit requests
  • Accounting Specialist Job Qualifications:

  • Minimum of a High School Diploma (or equivalent) PLUS two years of post-secondary education, in a relevant field. Note: Additional years of work experience in a relevant field can be substituted for education.
  • Working knowledge of ERP system, Sage 300 or Sage Intacct preferred but not required.
  • Intermediate skill level using Microsoft Word, Excel, Outlook, and Teams. This includes having above average capabilities within Microsoft Excel using VLOOKUP, Pivot Tables, Formulas, etc.
  • Strong organizational, time management, prioritization skills with a professional work ethic.
  • Detailed oriented and accurate with an ability to multi-task.
  • Must have the ability to maintain confidential and sensitive information.
  • Team player, sound judgment and willingness to take on additional duties.

  • Tools & Equipment Used:
  • iPad, iPhone, laptop computers, projectors, copy/scanner machine, computer.
  • Be able to scan documents and encrypt documents as necessary
  • Use first aid equipment, fire extinguisher.

  • Usage varies by position.
