Position Summary: The Director of Operational Support is responsible for providing advanced
administrative management to enable the Chairman to concentrate on essential duties and strategic
activities effectively. The role demands strict confidentiality and exceptional multitasking skills to handle
various priorities at once. It is a highly visible position within the department, necessitating professional,
positive, and respectful interactions with clients (both external and internal), vendors, and business
professionals representing the Chairman. The candidate must exhibit excellent speaking skills, grammar,
spelling, proofreading and organizational abilities.
Essential functions:
1. Provides a variety of complex and proactive administrative support and independently oversees
special projects as assigned.
2. Effectively acts as a gatekeeper and general deputy of time, fielding intricate internal and external
scheduling requests and providing recommendations aligned with the Chairman's priorities.
3. Maintains the Chairman's calendar, including scheduling meetings, appointments, speaking
engagements, and travel (may include domestic and international) arrangements. Exercise
discretion in committing time and evaluating needs.
4. Organizes complex, multi-location meetings requiring video conference and in-person
participation, including occasional dictation of meetings.
5. Identifies specific areas of opportunity and implements continuous improvements.
6. Effectively interfaces and coordinates with executive leadership and external/internal clients
surrounding their duties and projects.
7. Coordinates (including agenda and material development and distribution), attends, and
participates in meetings, events and activities for the Chairman, including all-hands meetings,
team outings, happy hours, meetups, and conferences.
8. Coordinates purchasing, expense and/or workflow invoice procedures; works closely with the
Accounting department to ensure accurate and timely submittals and record-keeping, including
reviewing and processing monthly corporate card statements.
9. Organizes and coordinates executive outreach and external relations efforts; serves as a liaison
between the Chairman, staff and the public. This includes receiving and screening the Chairman's
phone calls and visitors, answering various questions with tact and diplomacy, taking messages
and directing calls appropriately for resolution.
10. Coordinates travel, including airline reservations/online check-ins, hotel reservations, ground
transportation, etc. for anything related to duties assigned.
11. Manages and prepares for calls, team meetings and external meetings both in person and virtual.
12. Organizes event planning with marketing and operations - assisting in securing the venue,
negotiating terms and costs for the meeting room, catering, AV equipment and other necessary
items pertaining to the overall success of the event.
13. Assists with creating, editing, proofreading, maintaining and/or revising documents as needed,
including but not limited to Excel, Word, Adobe and Powerpoint.
14. Leads one-off projects as they arise; works collaboratively with the team, adapts to ever-changing
business demands and priorities, and embraces new requests as learning opportunities.
Considers different points of view and collaborates to form action plans for completing projects.
15. Manages newly established policies and procedures to ensure efficiency and consistency in
operations.
16. Liaises with directors to enhance working relationships with the Chairman or Chief leadership.
17. Enhances the public image of and the individuals the incumbent supports through interactions
with current and prospective business partners, members, public policymakers, and the general
public.
18. Evaluates the effectiveness of current business practices and procedures to improve efficiency.
19. Works collaboratively with Executive management across subsidiaries to assist in fulfilling annual
business plan objectives and support business development initiatives.
21. Obtains and maintains a Notary Public Commission and PACE Certification and any required
Continuing Education Units (CEUs).
22. Assists in project planning, prioritization, initiation, execution, training, and fostering collaboration
with end-users and key stakeholders.
23. Assists the Chairman in developing presentations and white papers for internal and external
audiences.
24. Advises the Chairman of time-sensitive and priority issues, ensuring appropriate follow-up.
25. Composes and prepares letters relating to routine correspondence for the Chairman's signature.
26. Assists with preparing the required documents for the monthly Board of Directors meeting as well
as attendance of Board of Director meetings for all companies owned by Community Bankshares
Inc.
27. Attends meetings and take notations of discussions; prepare the initial draft of minutes and
summaries.
28. Completes various special projects, including creating organizational charts, financial
spreadsheets and obtaining monthly scorecard reports.
29. Provides management, oversight and training of all Executive Assistants across all companies
owned in whole or in part by Community Bankshares Inc.
30. Assists in preparation of information needed for quarterly shareholder memos.
31. Assists in preparation of information needed for annual shareholder meeting.
32. Collaborate closely to support Community Bankshares internal & external marketing initiatives
and campaigns, helping to ensure alignment with the company's brand, values and business
objectives. This includes assisting in the development and execution of internal & external
marketing strategies, contributing to content, creativity and leveraging insights to enhance
outreach and engagement.
33. Assists with the external Community Bankshares Public Relations team and marketing agency to
provide monthly updates and coordinate schedule needs for the chairman.
