Position Summary:
Oversee the external and internal transfer student enrollment process in the College of Liberal Arts and Sciences (CLAS). Coordinate with Office of Undergraduate Admissions and Office of Academic Support for Athletics staff to conduct timely evaluation of courses and update transfer course database and student records. Work closely with Registrar’s Office and department chairs to reserve seats in courses or to designate sections for transfer students on a proactive timeline and then work closely with Registrar, students and department chairs to register students for courses after they deposit. Acts as primary advisor to internal and external transfer students, sharing caseload of advisees with other members of the Office for Undergraduate Students (OUS) advising team, depending on size of student cohorts. Develop and teach a 1-credit course and other programming for CLAS transfer students. Organize ongoing transfer student activities and events and act as advocate for the needs of transfer students with various offices at the university.

Duties and Responsibilities:
Manage Course Articulation and Scheduling for CLAS Transfer students
Conduct preliminary assessment of transcripts and syllabi to determine transfer credit for approximately 200-300 applicants per year. Upon student entry to the College, reassess transfer course credit, contacting appropriate stakeholders for approval as needed. Reassess updated transcripts for courses that were ‘in-progress’ during the initial evaluation. Routinely update transfer course equivalency database.
Manage the course registration process for all incoming CLAS transfer students by ongoing communication with students and coordinating with chairs/faculty/staff members in other University offices and departments.
Create individualized course schedules by registering new transfer students for all needed courses during their first semester of enrollment.
Use judgement to evaluate the need for additional sections of courses and communicate with the Dean, OUS, Departments and Registrar to create new sections of courses.
Advise students
Act as primary academic advisor for all internal transfers to CLAS from other VU Colleges.
Act as primary advisor for a caseload of external transfer students (sharing that caseload as needed depending on size of incoming cohort with OUS Faculty Advisors).
Meet with students to discuss potential majors, minors and time to degree completion.
Advise students on how to register for courses to keep them on track for graduation. Refer students to other support offices on campus as needed.
Communicate with stakeholders and coordinate programming
Work collaboratively with other University stakeholders, including Athletics, Registrar, Admissions, LSS, CASA, etc. to support incoming transfer students. Coordinate with Admissions Office staff and Athletics to respond quickly to queries regarding course evaluation and total transfer credits permitted. Must be familiar with 40+ majors and 60+ minors in CLAS as well as Core Curriculum requirements.
Meet with prospective students and their families to answer questions.
Act as primary OUS point person for questions and processes for AP and Dual Enrollment course equivalencies, as well as summer course elsewhere approval for current VU students.
Coordinate Transfer Student Orientation Programming for CLAS Academic Portion of Orientation. Work closely with student life and student transfer leaders.
Teach a 1-credit advising course for Transfer Students under the direction of Director and Associate Director for Academic Advising.
Contribute to OUS Academic Advising Projects
As an active member of the OUS Advising team, assist with projects and with general student or faculty questions as needed.
Attend Transfer Student Events and Admission Events on occasional evening or weekends. Additional projects as assigned by Assistant Dean, Director or Associate Director.
Minimum Qualifications:
Bachelor’s degree required. Master’s degree preferred. Preferably in a liberal arts and sciences discipline.
Familiarity with the academic policies and procedures of a university and preferably CLAS curriculum.
At least two years of academic advising experience at the college level required. Must have understanding of the academic, personal and professional needs of transfer and undergraduate students.
Excellent interpersonal, written and verbal communication skills required to meet with students, staff, faculty and parents. Ability to work effectively as part of a team in a service environment with frequent interruptions.
Proficiency using Microsoft Office programs and competence with a variety of software applications including CRMs, databases, form management, etc.
