Beacon Hill is hiring! We have partnered with a growing insurance company in Henderson, Nevada in hiring an Office Services Assistant to start immediately! This is a temporary-to-hire position.
The Office Services Assistant plays a key role in supporting the day-to-day operations of the office by ensuring that the environment remains organized, efficient, and conducive to productivity. This position involves a variety of administrative tasks, including managing office supplies, assisting with mail distribution, coordinating office maintenance, and providing general support to staff and management.
Key Responsibilities
Administrative Support
Assist with office-wide administrative duties such as filing, photocopying, scanning, and document preparation.
Support in organizing meetings, including setting up conference rooms, ensuring the availability of materials, and preparing refreshments as needed.
Handle incoming calls and visitors, directing them to the appropriate department or individual.
Assist with scheduling appointments and maintaining office calendars.
Office Supplies Management
Monitor and maintain office supplies inventory, including stationery, office equipment, and other necessities.
Place orders for supplies as needed and ensure timely delivery.
Organize and maintain storage areas for office supplies, ensuring everything is easily accessible.
Mail and Package Handling
Receive, sort, and distribute incoming mail, packages, and deliveries.
Prepare outgoing mail and arrange for courier or postal services as necessary.
Maintain accurate records of incoming and outgoing mail for tracking purposes.
Facility Management
Assist with the coordination of office cleaning, maintenance, and other building-related services.
Report any maintenance issues or repair needs to the relevant department or service provider.
Ensure the office environment is clean, organized, and fully functional for employees.
Customer and Staff Support
Serve as a point of contact for staff members requiring assistance with office-related needs or resources.
Provide general office support, such as arranging for catering, event logistics, or assisting with employee requests.
Help maintain a positive, collaborative atmosphere in the office.
Record Keeping and Filing
Maintain organized physical and digital files for office records, ensuring compliance with company policies.
Assist with document retrieval and data entry as required.
General Office Tasks
Help with organizing office events, staff meetings, or company-wide initiatives.
Perform other administrative tasks as needed, including assisting with special projects or initiatives.
Qualifications
Education: High school diploma or equivalent required; some college or vocational training preferred.
Experience: 1-2 years of experience in an office environment or administrative support role preferred.
Skills:
Strong organizational skills and attention to detail.
Excellent written and verbal communication abilities.
Proficient with office software (e.g., Microsoft Office Suite, Google Workspace).
Ability to multitask and prioritize effectively in a busy office setting.
Strong interpersonal skills and a customer-service-oriented attitude.
Basic knowledge of office equipment (copiers, fax machines, etc.).
