The Academic Program Specialist will perform specialized administrative work in the office of student success, providing support for the programs at the Muma College of Business. The position provides administrative coordination for assigned duties, serves as a point of contact to undergraduate students and prospective students. Provides BANNER, Degree works and other programmatic support for reporting, events and data entry.
The position performs a wide variety of office and clerical duties of medium complexity, serves as a point of contact for advisor and staff on matters related to student affairs, program requirements, policies and procedures, and other administrative matters. The incumbent in this position does inquiries, queries, and generates standard reports from university and college systems and produces documents using word processing and spreadsheet software as needed
The person serving in this position will be part of the college's advising community that includes departmental advisors and undergraduate students.
Duties for role:
Provide general office and front-desk services: Respond professionally to incoming phone calls and emails, as appropriate. Assist personnel (students/staff/faculty/employers/visitors) entering the office (in-person). Schedule appointments and prepares student files for advising. Check-in students who arrive for appointments. Inform advisors when students arrive for scheduled appointments. Answer basic questions for students-direct students to proper resources for answers to questions when unable to answer immediately.
Provide timely and accurate support for administration and staff: Maintain student files and records, conducting preliminary screening on student paperwork, making appropriate student referrals and fulfillment of other student-related administrative requirements. Enter information into BANNER/OASIS and Degree Works student database systems. Communicate with students regarding academic program, prerequisites, course selection, as well as substandard academic grades and issues. Collaborate with Academic Advising during peak times with various database systems/such as REF's, student outreach, repeat course reports, and advising tracking. Assist the Online Accounting program Advisor with data entry, student outreach, updating student records, qualifying students based on surveys/admission records, and corresponding with students. Assist Advisors with syllabus submissions through the survey form, and following up with various departments for syllabus processing.
Assist with special office duties: Help with various tasks including but not limited to inventory management, calendar management, and training of FWS students. Provide support for the planning, logistics, and implementation of events and programming for office. Take the lead on flyer creation, distribution, general management to ensure flyers are always current and properly displayed.
Other duties are defined by department, college, or university officials.
QUALIFICATIONS (Education & Experience):
Minimum Qualifications:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

• High aptitude for technology and ability to excel in a team environment.
