The qualified candidate will be part of the Office Service team and be responsible for full mailroom services. This position provides support on a daily basis to the Plymouth Office. The position requires excellent communication skills, organization, accuracy, attention to detail, relationship building skills, verbal & written communication, judgment, and confidentiality. This position is in office Monday to Friday.
Overall Responsibilities:
Sorts and delivers incoming mail and packages by department to ensure timely distribution.
Processes and weighs outgoing mail and packages.
Maintains records of receipt, mailing dates and other required information.
Process bulk mailings via mail and FedEx Manager.
Operates mail machines including the postage meter, copiers and mail folding and inserting machine.
Replenishes postage on postage meter as needed. Monitor the supplies needed for the postage machine. Place service calls when needed.
Responsible for maintaining an adequate supply of shipping materials, such as boxes, tape and labels and keep inventory of these supplies.
Stocks supplies for the mailroom.
Check all fax machines throughout the day and distribute to appropriate recipients.
Restocking of printers and copier stations with throughout the office.
Maintain the mailroom to ensure that it is always clean and organized.
Restocking of snacks and drinks in pantry area.
Office Events - Assist with setting up and breaking down of office events and gatherings
Occasional switchboard coverage for breaks. Fill-in when receptionist is out of the office.
Performs additional ad-hoc duties as assigned.
Qualifications:
Experience in a professional setting.
Strong customer service skills with the ability to handle requests in a courteous, professional, and timely manner.
Sound time and project management skills
Ability to organize and manage multiple projects to ensure deadlines are met.
Ability to multitask and work in a fast-paced environment
Strong communication and coordination with multiple departments
Strong computer skills (MS Word, Excel, Outlook)
