General Overview
This is an on-site position and as such, this individual serves as an important resource for benefits information for new and current monthly paid professional staff especially concerning onboarding, life events, and general questions.
Reporting to the Manager of Professional Staff Benefits, the HR Coordinator provides day to day operational support to the Benefits section of the Professional Staff Compensation & Benefits Department (PSCB) teams.
This role supports a variety of HR support functions, with emphasis on
• Responding to routine benefit and HR related inquiries from professional staff, especially new hires
• Assisting the benefit consultants, manager, and director on all areas of benefit operations.
• Assisting with the onboarding process, especially in the June and July period and the Annual Open Enrollment period in the Fall
• Project work responsibilities for the Lease Guaranty Program (for GME trainees and MGH research fellows) and the GME COLA Stipend Program
• Assist with review of weekly leave of absence reports of the professional staff monitoring for accuracy
• Front office administration, assisting with benefit administration and communications.
The Benefits section of the Professional Staff Compensation & Benefits Department supports the MGPO professional staff (physicians and researchers), MEA faculty, and MGH clinical fellows and research fellows, MGB residents (based at MGH) with all their benefits including health & welfare plans, retirement plans, benefit enrollment, benefit changes following life events and promotions, etc. In addition, this section supports the IHP faculty and executives regarding their retirement benefits. This support is personalized to the needs of the customer.
Principal Duties and Responsibilities
General Office Duties (20%)
• Responsible for maintaining a highly professional and proficient image of the MGH/MGPO Professional Staff Benefits Office (face of the department)
• Directs the individual to their benefit consultant or the appropriate area such a MGB's Shared Services or Payroll for further assistance as needed
• Provide notary services to professional staff
• Kronos timekeeper
• Responsible for front office administration, ordering supplies, maintaining inventory, reserving conference rooms
Benefits Administration Duties (50%)
• Provides front line customer service support to employees and non-employees with questions about employee benefits, the benefit enrollment process
• Sends email notices to employees periodically as needed. Examples include announcement of department sponsored educational events, annual announcement of the maximum contributions allowed towards the 403(b) and 457(b) plans, monthly notices to staff when eligible for new benefits, to those receiving their First Year FIP payment, etc.
• Assists with monthly review of Leave of Absence status changes
• Respond to requests for Verification of Employment (VOE) and confirmation of benefits
• Benefits communication. Assist with the creation, review and revision of department's benefit related material, ensuring that updated information is on the HR portal, MGPO Central, the GME site and the Research Intranet
• Assists with I-9 document verification and reverification
• Provides backup for other team members as needed.
Project management (25%)
• Administers Lease Guaranty Program on behalf of GME and MGH Research
o Responds to inquiries on the program details from trainees and landlords
o Reviews applications and supporting documents and processes applications that are in good order
o At the completion of the program year, compiles data summarizing the result of each program for leadership review
o Suggests recommendations on improvements to the program
• Administers GME Resident Cost of Living Stipend Program
o Responds to inquiries on the stipend program
o Adjudicates applications based on approved criteria
o Prepares payroll files
o Suggests recommendations on improvements to the program
• Other project support as needed. This may involve preparing PowerPoint slides, excel spreadsheets, and other presentation materials
• Develops and runs ad hoc/routine Peoplesoft queries.

Qualifications
Qualifications
- Bachelor's Degree strongly preferred
- One year of HR or benefits experience desired
Skills and Abilities
Excellent customer service and interpersonal skills and the ability to handle sensitive and confidential information
Solid computer skills required, particularly MS Excel
Excellent problem-solving skills, and the ability to determine when an employee issue should be escalated
Well-developed verbal and written communication skills to provide appropriate level of support, communicating issues and resolution to all levels of staff and management.
Strong attention to detail
General familiarity with federal immigration rules as they apply to work authorization visas, including but not limited to J-1, H-1B, TN. Good understanding of the regulatory I-9 process is helpful.
Excellent organizational and problem-solving skills
Ability to contribute as a team player, sharing information in a timely and accurate manner.
Ability to stay focused and proficient in a high volume, detail-oriented environment.
Ability to work independently with limited supervision
Ability to contribute to the strong service orientation of the Professional Staff Benefits Office
Ability to maintain confidentiality
General understanding of employment law is helpful
