The Research Program Coordinator - Careers, Mentoring and Education is responsible for providing direct administrative and management support to assigned small to medium size research programs/centers. Ensures the schedule of appointments and meetings for the program leaders and ensures meetings and committees are organized (Agendas & Minutes) and kept up to date and reflect the priorities as required. Serves as the administrative lead for all programmatic initiatives that involve the assigned program/lab. Composes and prepares correspondence, letters, and complex documents including graphics, charts and special project reports on behalf of the program leader(s) and Research Administration; facilitates paperwork of a confidential and/or sensitive nature. Implements and improves operational practices and procedures within the assigned program. Serves as the lead and key resource person to support team members and others related to effort reporting requirements. Routinely multi-tasks, solves complex problems and is open to constant challenge and change. Position requires extensive knowledge of the research environment as a whole, policies and standard practices. Initiates and maintains positive working relationships with internal (ex. IRB, Compliance, OSP, Accounting, Research Administration, Clinical areas, etc.). Ability to work independently and prioritize is essential. Advanced knowledge of Microsoft Word and Excel programs and ability to learn other needed software programs is required. Ability to achieve results in the absence of explicit guidance and/or instruction is expected.
Primary Responsibilities:
1. Provide administrative management support for the scientific leader or center director, including coordination of activities across all relevant Nemours sites and prepare quarterly and annual reports as required by grant funding agencies, Nemours, or other regulatory requirements.
2. Serve as a liaison to the Office of Sponsored Projects (OSP) in preparing grant budgets, renewal processes and progress reports. Work with OSP to assure prompt and accurate accounting related to funded projects.
3. Identify potential grant opportunities and support development of proposals.
4. Provide regulatory oversight for all Center research activities and support center personnel in facilitating research.
5. Serve as a liaison on designated committees and teams.
6. Develop administrative/operational systems to streamline project development and administration and work to ensure the growth of the Center.
7. Lead staff recruitment, training and supervision, and assist with faculty recruitment and training as needed.
8. Maintain current bio sketches, CVs, and other support documents for all faculty and staff in the center/lab.
9. Maintain the center or lab website and social media presence, including regular updates and enhancements and assure that the Center's technology remains current, evaluating programs and platforms and monitoring appropriateness and use.
