POSITION SUMMARY:
Under the supervision of the program's assistant director, the academic services administrator is responsible for ensuring the smooth operation of the DBA program of the Muma College of Business. Duties include drafting faculty contracts, acting as the first contact for potential applicants to the program, maintaining applicant records, monitoring applicant progress and scheduling applicant interviews, acquiring bids on technology and book purchases and preparing the associated paperwork, supervising graduate assistants and OPS personnel, overseeing the program's website, entering appointments and monitoring overload compensation for 30 or more program faculty, investigating student and faculty concerns with respect to purchasing, compensation, and travel, and assisting in the running of weekend residencies.
RESPONSIBILITIES:
Manage office duties include: greet visitors, assisting students and program Directors, answering questions about the DBA program, college, student accounts and records, assist students with admission, registration, and petition process on a continual basis, maintain and update student records, files and applications Ensure data entry integrity, and manage daily incoming and outgoing mail.
Represents DBA program as a liaison to Muma College office managers and financial management department, attending all monthly meetings, disseminate information to DBA personnel. Prepare payroll for the DBA office and reconcile payroll. Point of contact for employment resources, assisting with new hire searches, employment actions which includes collecting documentation.
Attends all DBA residencies to support student needs; provides phone and in-person support to students between residencies. Working with supervisor, acts as resource relating to policies impacting students, faculty, and program staff. Areas of expertise include policy, procedures, USF systems, financial aid, admissions, and human resources.

Course scheduling: Works with supervisor to develop each semester's course schedule and is responsible for preparing faculty contracts and appointments, numbering at least 30 each semester. Works with innovative education to manage program workshops that are not part of the normal curriculum.
Participates in the decision-making processes of the, Academic and Program Directors. These include major budgeting decisions, enrollment decisions, course and curriculum-related decisions, and personnel decisions. Negotiates purchasing for technology acquisition for students and workshop materials. Acquires textbook orders from faculty and issues purchase orders.
POSITION QUALIFICATIONS:
MINIMUM:
Bachelor's degree and four years experience
FLSB1310 Equivalency:
Four years of direct experience for a bachelor's degree
PREFERRED:
Prefer USF experience, working with students, and a dedication to high level customer service.
