Job Description Summary
The Family Resource Center is a hub for information, resources, activities and advocacy for students and post-docs with children. The Family Center provides a forum for student parents to connect and develop supportive networks, and offers a welcoming and family-friendly environment for Penn students, post-docs, caregivers, and children.
The Operations Manager will manage the general operations of the Family Resource Center, including support for the facility, i.e. staffing the center, sustaining public spaces, ordering of supplies and assistance with projects. They will oversee Family Center memberships, including management of the membership database, processing requests and orientation of new members to policies and ensure members adhere to policies. The Operations Manager will help develop member-led initiatives and special projects. The Operations Manager will train, schedule, and supervise student workers, and organize staff meetings and events. They will provide administrative support to other full-time staff, including processing financial transactions, assist with hiring paperwork, and general assistance with campus partner communications, and provide support for committees and groups. They will support the website and technology projects.

Job Responsibilities
Management of center operations; staff the Center, order supplies, maintain inventory, manage space requests. Assist with facilities management and special projects.
Manage memberships, initiatives and special projects; process requests, manage and maintain database, ensure Center policies and procedures are communicated to members and visitors.
Provide administrative support; process reimbursements, requisitions, and individual payments, and ensure payments are made to vendors. Set up accounts and assist with process hiring paperwork for new student and employees. Organize staff and board meetings and events, including ordering food and meeting set-up.
Train and assist with supervising student workers including maintaining staff schedules, organizing training and staff meetings. Train staff and fellows on website, technologies, security systems, and operational and programming processes and systems.
Support programs, events, and special projects, and committees.
Communications support, including regular website updates, support web and technology projects, and management of calendar system support.
Other duties as assigned.
Qualifications
Associate's Degree and minimum 2-3 years of office, retail, childcare, or center management experience, preferably working with families, facilities, and technology.
Empathy and Cultural Competence: Ability to work and communicate effectively with diverse student and family populations.
Organizational Skills: Detail-oriented and capable of managing multiple time-sensitive complex tasks.
Collaborative Spirit: Willingness to work collaboratively with colleagues, students, and external partners.
Passion for Student Success: A commitment to supporting student-parents in achieving their academic goals.
Must be able to work occasional evenings and weekends.
Preferred
Web and communication experience preferred.
Experience in staff oversight and training preferred.
Experience working with student parents, graduate students, and families preferred.
