Job Description:
The Administrative Assistant II provides administrative and general clerical support to the management and staff within the College of Education's Global programs, including AOP online, Collin College Alliance, and TXST Mexico. This position works in person on the San Marcos campus.
Job Duties:
Assist in managing the daily operations of COE Global across all 3 academic departments.
Coordinate scheduling and other arrangements for virtual and in-person meetings.
Monitor progress and due dates of all COE Global assignments and projects, providing project management assistance.
Coordinate schedules, workflow, and project activities with external partners and stakeholder offices across the university.
Maintain the Schedule of Classes for COE Global courses in collaboration with the academic departments and COE Academic Advising, and assist with overrides and student questions.
Prepare travel applications, expense reports, and compliance forms.
Coordinate purchasing and enter purchase requisitions.
Monitor budget transactions.
Submit personnel actions and Personnel Change Requests.
Assist in preparing various activities and events.
Maintain and organize digital files in a shared drive hand review for completeness.
Respond to email in a timely manner, proactively assisting students, staff, faculty, and leadership inside and beyond the college.
Reserve classrooms and meeting rooms for program needs.
Compose and proofread correspondence and forms.
Coordinate contract routing.
Maintain calendar for supervisor.
Create and update forms and workflow processes.
Answer telephone, provide initial response, transfer calls, and take messages.
Greet and assist visitors.
Perform other duties as assigned.
