Job Description Summary


The Education Program Assistant is a integral member of the education team in the Department of Neurology supporting 60 residents and 40 fellows. Reporting to the Director of Academic Affairs and Education, this position works with and supports the residency and fellowship program coordinators, trainees and faculty. In addition, this role supports the clerkship director and undergraduate medical clerkship students.


A successful Education Program Assistant is customer service oriented, collaborative, a team player, and highly organized. They are an important resource to the residency program and department and are instrumental in ensuring the team has the tools and resources needed to support the Department of Neurology's commitment to training and education of future neurologists.




Job Description




The successful candidate will be expected to perform the following duties:



Residency Education Program:
-Daily morning and lunchtime conference set-up, recording, editing and archiving lectures on Mediasite
-Coordinating weekly meetings and sending out reminders
-Supporting residency program recruitment, orientation, graduation and other milestone events for the department.
-Support and track resident evaluations in MedHub and working with faculty to ensure submission is timely
-Inputting call schedules into Qgenda and ensuring accuracy and communicated appropriately
-Collection of rotation schedules to ensure logistics are accurate for various sites
-Sending out and confirming resident and attending calendars, outpatient, ambulatory and elective schedules
-Assist with processing of reimbursements related to resident expenses and medical student exam costs
-Processing of resident trainee verification requests
-Assists Residency Coordinator with other residency program duties as needed



Undergraduate Medical Education Program:
-Collating orientation folders for Neurology 200 students
-Scheduling and entering evaluations into the OASIS system
-Supports the application and programmatic processes for outside UIM students who rotate through the Neurology department -Proctoring shelf exams at Perelman School of Medicine and sending grades to students
-Technology support as needed-Including uploading materials for lectures to desktop in conference rooms and to CANVAS (School of Medicine curriculum site)


This position will also assist in supporting Grand Rounds for the department, confirmation of invited speakers, publicizing the event, recording and saving lecture, ensuring submission and completion of CME credits. This individual will also provide backup support for the Fellowship Coordinator as needed.


Availability required for some evening hours as needed throughout the year.



Qualifications



  • High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.

  • Associate's degree or higher in a related field preferred.

  • 2-3 years' experience in an office administration role, preferably in a medical education setting

  • Experience working with students, faculty and administrative staff

  • Comfortable working with complex schedules

  • Excellent attention to detail

  • Excellent written and verbal communication, especially via telephone and email

  • Strong customer service experience

  • Comfortable with learning new software platforms

  • Proficient with MS Office suite of products and technology set up

  • Ability to prioritize tasks, meet deadlines, and maintain communication regarding residency program.

  • Ability to maintain confidentiality and professionalism at all times.
