Spiritus Systems is a rapidly growing, veteran-owned small business manufacturing tactical nylon gear in Aberdeen, NC.

POSITION

Administrative Director

JOB SUMMARY

The Administrative Director leads and coordinates the organization’s administrative systems and general workflows. The Administrative Director supervises administrative teams and ensures daily organizational tasks are completed seamlessly. The Administrative Director will work as a liaison between employees, management, and the Executive Staff to ensure all business operations run smoothly. The Administrative Director will support all departments in the organization and report to the Chief Operating Officer.

RESPONSIBILITIES

  • The Employee shall support, report to, and be directed by the Chief Operations Officer.
  • Lead, manage, and direct human resources, finance/payroll, information technology, and any other administrative departments and their staff.
  • Plan and coordinate administrative procedures and systems to implement improvements to streamline processes.
  • Ensure smooth and adequate communication between all departments of the company.
  • Manage schedules, calendars, and deadlines across the company.
  • Coordinate travel, trade show, and expense requests across the company, to include associated proposals, reports, and policies with applicable departments.
  • Manage and maintain department databases and personnel folders.
  • Manage and maintain the company Intranet site for dissemination of news and information.
  • Lead and/or participate in inter- and intra-departmental company meetings.
  • Assist COO/CFO in monitoring costs and expenses to assist in budget preparation.
  • Organize and assist in preparing for company activities, such as meetings, parties, birthdays, holidays, renovations, trade shows, etc.
  • Establish, create, maintain, and revise company policies and procedures regarding administrative functions across all departments.
  • Ensure operations adhere to policies and procedures.
  • Keep abreast of and assist in communicating all organizational changes and business developments.
  • Be a part of business development initiatives relating to both the tactical and textile portions of the company.
  • Be a key contact for the company within our local and state community, fostering relationships with economic development organizations, educational institutions, and other organizations.
  • Collaborate with all departments to establish schedules and administrative processes to best serve client and/or customer needs.
  • Leads and manages Human Resources in all aspects of the department, including hiring, on-boarding, training, and mentoring staff.
  • Oversee and ensure compliance with federal, state, and other relevant regulations across all aspects of the company. This includes but is not limited to ADA, FLSA, FMLA, ACA, CMMC, COBRA, EEOC, OFCCP, ITAR, and other applicable requirements.
  • Develop, manage, and oversee policies and procedures for any/all departmental needs.
  • Assists in hiring, on-boarding, training, and mentoring staff on appropriate equipment, processes, and products.
  • Evaluates staff on job performance to provide professional development and corrective action feedback in conjunction with Human Resources and the Executive team. 
  • Evaluates efficiency through methods that may include workflow, workstation organization, and time management.
  • Initiate, manage, and execute process improvement initiatives in conjunction with the Quality Manager and other management staff in the development of Quality Assurance and Quality Control policies, procedures, and documentation.  
  • Enforce all company policies regarding supporting staff.  
  • Act as a major contributor to software management projects that the company embarks on.

REQUIRED QUALIFICATIONS

  • May be required to travel for trade shows, training events, demonstration sites, industry and/or company events.
  • May be required to work overtime and/or extended hours depending on business needs.
  • Physical requirements may include sitting, standing, walking, lifting up to 50 pounds, bending, and kneeling for up to and including 8 hours.
  • Vision to view printed and electronic text and graphics.
  • Ability to access information on computers, tablets, and electronics.
  • Ability to handle and manipulate items with hands and/or fingers up to and including 8 hours.
  • Full-time, on-site position.
  • At least 5+ years’ experience in a managerial role.
  • At least 5+ years’ Human Resources experience.
  • Must have strong skills in the Microsoft Office Suite to include Outlook, Word, Calendar, Excel, etc.
  • In accordance with the Violent Crime Control and Law Enforcement Act of 1994 (18 U.S.C. § 931), the applicant must not have a violent felony background.

PREFERRED QUALIFICATIONS

  • Utilize appropriate software to perform job duties, such as but not limited to BigCommerce, Avalara, Braintree, Paypal, ADP, ShipperHQ, and/or Microsoft Dynamics (list applicable software systems) systems to facilitate job duties.
