Job Description:

The mission of Alum Rock Counseling Center (ARCC) is to heal families and inspire youth to reach their full potential. For 50 years, ARCC has provided a wide range of behavioral health counseling and school-based support, designed to promote health equity & educational equity, and ensure that high-risk youth stay safe, in school, and drug & violence free. The agency supports a predominantly Latinx (83%) population in underserved schools and neighborhoods throughout Santa Clara County with a focus on the high-need area of East and Central San Jose. ARCC staff provide services to youth and caregivers who otherwise might struggle to afford and/or access quality care. In 2023-24, the agency served 5,000+ individuals, through 13 different programs, including individual and family counseling, substance use prevention education, youth mentoring, family reunification, parent training/support, and services in 30+ high-need schools.

We have 85 full-time employees and over 25 dedicated volunteers that make our program run. POSITION SUMMARY:
Under the Office Manager supervision, the Receptionist provided general office and clerical support, organizational and administrative tasks which help to ensure the smooth and efficient functioning of Alum Rock Counseling Center Administration.

Duties:
General day-to-day administrative office tasks including, but not limited to: Greet all ARCC visitors in a friendly and professional manner. Answer incoming calls, transfer callers to appropriate personnel and greet office visitors. Provide all aspects of mail management, maintain postage logs, postage meter, interfacing with mail carriers and staff, sorting and distributing mail. Ensure office equipment is in proper operating condition; paper & toner in copy machine, printer and fax machine. Maintain order and cleanliness of common areas, including the entrance area, kitchen, and conference room. Maintain order of supply room, including making copies of agency forms, ensuring supply cabinets and paper supply are well-stocked. Word processing, data entry and spreadsheets, check requests, scheduling appointments, maintaining office calendars. Provide administrative support to Managers, Directors as needed. Any other tasks assigned for the benefit of ARCC. Provide support as needed to ARCC Psychiatrist. Including scheduling, billing, translation and other support.

Minimum Qualifications:
Minimum of high school diploma with 1-2 years of office experience. Bilingual Spanish/English required, including the ability to read, write and translate documents. Excellent communication (verbal and written) and interpersonal skills. Strong customer service skills both in-person and over the phone; warm and welcoming manner. Strong administrative and organizational skills. Ability to accurately type at least 40 words per minute. Proficient with computer usage and all Windows and Windows-based software, including Word, Excel, PowerPoints. Demonstrated positive attitude and flexibility in an ever-changing environment with multiple interruptions. Knowledgeable on how to operate and troubleshoot standard office equipment, professional copiers, faxes, multi-line telephone systems, etc. Ability to respect and maintain a high level of confidentiality paramount. Experience working with low-income and ethnic minority populations, and high-risk families strongly desired. Experience working with diverse ethnic/cultural backgrounds; Experience working in diverse settings; Bilingual Spanish/English Preferred Effective verbal and written communication skills; Computer literate; Ability to lift up to 25 lbs.; Able to work independently and as a positive member of a team; Fingerprinting and background check as required by the Department of Justice; Valid CA drivers license, an automobile for agency travel, and proof of current auto insurance; TB test clearance required every 2 years COVID19 vaccination and booster, highly recommended.
