We are seeking a high performing Operations Sr Specialist or Lead to join our Charlotte Office Operations Team. This individual will have a demonstrated commitment to excellence, collaboration, attention-to-detail, creative problem solving, and big picture thinking. Our ideal candidate will be resourceful, tech savvy, and have outstanding relationship building and interpersonal communication skills.


This position is a fully in-person role with the expectation that you are in the office Monday-Friday from approximately 8:30-5:00pm (with some flexibility to work remotely with exception). There may be periodic travel to our office in Raleigh.




What You'll Do




Office, Space, and Safety Management:


• Primary face behind Charlotte's front reception desk of a Slalom office; Offers a hospitable, warm, and contemporary client, candidate, and vendor experience


• Responsible for the day-to-day operations, organization, stocking, and cleanliness of Charlotte's office spaces


• Primary liaison with both the Raleigh and Charlotte's building management team (including the cleaning crew, parking vendor & security teams)


• Communicates with building management, internal employees, Slalom Spaces, and vendors regarding facility-related asks and issues


• Ensures safe and secure office space in compliance with laws and Slalom policy


• Supports office technology upgrades desk and furniture configurations etc.


• Triages Operations email inbox; receives and organizes mail and packages


• Inventories and orders office, gear, and kitchen supplies


• Schedules large meetings and secures conference rooms


• Facilitates employee badging, visitor access, and parking processes


• Supports virtual public signage on office television screens using Broadsign


• May serve as local office First Aid/AED/CPR certification liaison


• Maintains office budget


Team Administration & Experience:


• Responsible for executing our employee gifting program including tracking, gift selection, purchasing, communications, etc.


• Responsible for employee information reporting and tracking


• Helps support employee initiatives to elevate the employee experience and company culture, including Employee Resource Groups, team gatherings, and more


• Supports creation and distribution of market-wide communications related to the office


• Supports updating SharePoint intranet site and/or Social Media account(s)


• Supports special projects as needed for team


Event Support & Execution:


• Supports planning and execution of internal and external events including but not limited to set up/break down of events, collateral, venue sourcing, contracting, theme, registration, event website, communications, rooming lists, food & beverage, swag, AV, content, etc.


• Coordinates catering needs for employee events and client workshops, as needed.


• Orders supplies, awards, and prizes for events


Talent Acquisition/New Hire/Day One:


• Greets new hires on their first day


• Supports new hire/first day orientation logistics (i.e. scheduling, room set up, technology, catering, etc.)


• Leads facility tours for candidates and new hires


• Participates in global onboarding lead meetings


Executive Administration:


• Responsible for supporting the General Manager's calendaring needs



What You'll Bring



• Bachelor's degree or relevant experience required


• Minimum of 3+ years of administrative or office management experience


• Experience using Microsoft Office Suite, Outlook, Microsoft Teams


• Professional communicator with strong oral and written communication skills


• Proactive and critical thinker


• Strong project management, organizational, and prioritization skills


• Works with a sense of urgency without sacrificing quality or accuracy


• Excellent business and employee customer service skills


• Strong attention to detail


• Maintains an energetic and positive attitude. Always maintains professional composure

• Has the ability to transport themselves and/or supplies to event spaces/venues as needed
