Job Description Summary


Reporting to the Operations Manager for University Life Space and Events Management, the ARCH Operations Coordinator is responsible for monitoring the daily operation of a core set of departmentally managed venues including Houston Hall (Penn's Student Union), Irvine Auditorium, (with a focus on) the Arts, Culture, and Research House (ARCH), and 3609-11 Locust Walk. The Coordinator is responsible for the supervision, training, and evaluation of ARCH Building Ambassadors who provide guest services, technical assistance, room setup, signage, access, generalized operational support, and aid in opening/closing for the ARCH building and 3609-11. The Coordinator develops and maintains a “student/cultural center” presence, and collaborates with the Student Engagement Team in the planning, implementing, executing and evaluating of annual and ongoing student staff training and development.




Job Description





Job Responsibilities



  • Serves as lead advisor on scheduling ARCH space, responding to questions, and problem-solving space-related issues. Responsible for the daily upkeep and management of space requests in the KX system and is a conduit for scheduling information and policies related to reservations/understanding of academic scheduling managed by the Office of the Registrar.

  • Provides supervision, training, and evaluation of building ambassadors who provide guest services, technical assistance, room setups, signage, access, operation support, and opening/closing for ARCH 3609-11 Locust Walk; develops and maintains a “student/cultural center” presence. Responsible for ensuring that each student staff member is kept aware of helpful information through the development, maintenance, and leadership of regular communication initiatives for student workers.

  • Complete regular building walkthroughs throughout the day - for patron interaction, venue conditions, identifying facility issues, and staff support. Performs area inspections, inventories and submits work requests. Monitors building conditions and event spaces working closely with Housekeeping to facilitate the maintenance and cleanliness. Makes regular reports of needed repairs and/or housekeeping issues.

  • Monitors activities in spaces/venues managed by University Life Spaces and Events on a flexible schedule during evening, early morning and weekend hours, also including weekday hours and holidays as scheduled. Supports the operations, services, and facilities to insure a consistent and continuous professional staff presence in Houston Hall, Irvine Auditorium, and the ARCH.

  • Works with the University of Pennsylvania Police Department and Penn Security Services to ensure the safety and security of the ARCH and 3609-11 Locust walk. Supports emergency management protocols for Houston Hall and Irvine, in concert with individual emergency preparedness plans for each facility, and mission continuity (plans for continuity of operations).

  • Collaborates with the Associate Director of Student Engagement in planning, implementing, executing and evaluating annual student staff trainings (welcome desk, building ambassador, student agencies, event assistants, and program assistants) each semester, as well as any ongoing training occurring during the academic year. Works with appropriate staff to develop a workable schedule for student staff training.






Qualifications





  • Bachelor's Degree and 2 to 3 years of experience or equivalent combination of education and experience is required.

  • Prior experience supervising/leading college students is required, prior student affairs experience is preferred. Experience managing full-time/part time staff is preferred. Bachelor's degree and two to three years of experience in campus/student center, conference center, hotel, other venue management or similar hospitality/event operations or equivalent combination of education and experience required.






Job Related Knowledge/Skill



  • Strong customer service and interpersonal skills required. The ability to be self-directed, work with minimal supervision, and with a diverse student and administrative population is essential. Knowledge of facility and event equipment and logistics, as well as audio visual equipment is preferred. Some physical activity in all weather conditions is traveling from building to building is required. Ability to interact positively and proactively and be adaptable to changing event circumstances required. Must be able to work a flexible schedule including evenings, weekends, holidays in addition to traditional business hours is essential.
