  • Proficiency in professional, accurate, and timely communication with strong proofreading ability.

  • Skill in detailed recordkeeping and maintenance of accurate, comprehensive files and documentation.

  • Ability to prioritize work both independently and within a team environment.

  • Demonstrated experience with Microsoft Office applications and in learning new technologies.

  • Familiarity with office workflows and needs within higher education.


Preferred Qualifications:



  • Bachelor's or advanced degree (Or hours toward advanced degree).

  • Knowledge of university policies, procedures, and faculty/staff rules and regulations.

  • Experience working in academic affairs in higher education.

  • Technical experience with software and network-based software.


Job Description:

The Graduate Degree Audit Specialist maintains student records including applying petitions from graduate advisors, reviewing and approving required forms and documents, changing student records as necessary or upon request, and running various reports to ensure student records are accurate and that students are on track to graduate in a timely manner. This also includes answering emails and phone calls from both faculty and students regarding registration and graduation policies, reviewing student graduation applications to ensure students have met all degree requirements listed in the university catalog, and reviewing curriculum and program changes to confirm they meet university policy regarding graduation requirements. The team is also responsible for reviewing all theses and dissertations and ensuring rigorous formatting standards are met.


Job Duties:



  • Evaluate and process graduate student applications for graduation and ensure students have completed degree requirements.

  • Maintain confidential student files and records through accurate and thorough documentation.

  • Process degree audit petitions, update curriculum records, and maintain student degree audits.

  • Ensure courses are applying to degree audits for financial aid eligibility.

  • Run reports to ensure accuracy in records and for tracking students progress.

  • Review and ensure degree audit templates and the Graduate Catalog have been updated when changes in curriculum have been approved.

  • Provide general information and outstanding customer service to a wide population of students, faculty, and staff.

  • Provide referrals to other offices and services on campus as needed.

  • Review theses and dissertations for proper formatting and assist with workshops for students.

  • Assist with commencement.

  • Perform other duties as assigned.
