The Illinois Center for Transportation within the Department of Civil & Environmental Engineering at the Grainger College of Engineering seeks applicants for the position of Program Specialist. This individual will be responsible for providing program support and administrative direction for ICT projects and communications.


This position is located at the Illinois Center for Transportation (ICT) in Rantoul, IL. ICT is located on Rantoul's former Chanute Air Force Base and the future site of the 230+ acre Illinois Autonomous and Connected Track (I-ACT). Duties and Responsibilities:


  • Support principal investigators in preparing and reviewing research project statements of work, research ideas, and research project budgets to audit, approve, and ensure compliance with research objectives, sponsor guidelines and University policies.

  • Use and maintain project management software and databases to track and analyze project tasks, performance metrics, and accomplishments over time. Ensure project documents, records, data, and archives are maintained and organized.

  • Use independent action and exercise individual authority based upon level of knowledge and professional experience to actively participate in meetings, prepare technical research discussion summaries, and communicate findings to various stakeholders. Handle a variety of sensitive and confidential assignments and projects.

  • Develop, coordinate, and implement ICT's training initiatives and conferences, including program coordination, management of conference marketing, registration, attendance, etc.

  • Manage ICT websites, training database, and social media platforms, in coordination with the Department's IT unit; develop training material for multi-functional areas; propose, design and champion innovative and engaging learning solutions; and continuously identify and recommend additional guidelines for improving offered training experience.

  • Assist in the preparation of publication content for design, layout, and distribution including artist correspondence, research, copywriting, and proofreading; adhere to publication standards and establish goals and expectations; oversee final layout (e.g., artwork, design, photography) and check content for accuracy and errors.

  • Provide guidance and assist in sponsored research need development, support project and RFP development, identification of principal investigators, and other financial activity.

  • Coordinate and expand ICT's outreach program by carrying out the Center's strategic vision and administering a long-term implementation plan for training and know-how transfer. This includes the coordination of training initiatives that address specific research needs in coordination with multiple sponsors, including the management of conference and seminar marketing, registration, attendance, payments, etc.

  • Assist in the management, creation, engagement, and monitoring of the social media strategy following established schedule of regularly featured topics and continue to grow the unit's online presence by building and maintaining the center's website and social media profiles, including Facebook, Instagram, LinkedIn and other media channels and ensure content for accessibility and user-friendliness; summarize and present data using fact sheets, graphs, and tables; and provide recommendations for improvement.

  • Assist in other duties, including representing ICT at outreach events, to further the mission of the Center .

Minimum Qualifications:

  • Bachelor's degree in business management, communication, administration, or a field related to the position.

  • A total of one (1) year (12 months) of work experience in program coordination

Preferred Qualifications:

  • One year of work experience in a position requiring demonstrated ability to apply processes, skills, knowledge, and experience to achieve specific objectives.

  • Knowledge/Experience producing a podcast and/or using Adobe Audition recording software.

Knowledge, Skills and Abilities:

  • Demonstrated ability to work both independently and as a part of a team in a fast-paced, multi-faceted work environment.

  • Ability to organize and prioritize daily duties and successfully perform multiple duties simultaneously with tight deadlines.

  • Exercise judgement to analyze and investigate a variety of questions or issues.

  • Excellent interpersonal, communication, and organizational skills.

  • Proficiency in Microsoft Office products, including Word, Outlook, and PowerPoint.

  • Basic technical business writing skills.

APPOINTMENT INFORMATION


This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $50,000- $60,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position will be expected to work at the University of Illinois Urbana-Champaign - Rantoul, IL on a full-time basis per the University's Workplace Flexibility policy . Sponsorship for work authorization is not available for this position.
