Administrative Assistant

  • Help conduct the operation of a financial advisory practice with an independent franchise of Ameriprise Financial. Assist in daily business operations allowing our team to focus on continuing to provide exceptional client service and advice to our clients.

  • Provide administrative support by scheduling meetings, preparing presentations, preparing client communications, tracking new business correspondence, coordinating/tracking projects, and managing business-as-usual tasks such as filing, copying, printing, and handling office mail.

  • Responsibilities and time allocation will change over time to meet the practice's needs and can include other duties as assigned by the team.

Position functions:

Administrative assistance


  • Answer multiple phone lines and direct callers so appropriate team members


  • Tracking all incoming mail and following firm compliance procedures


  • Prepare correspondences to clients


  • Scan documents to client files and submit forms


  • Deposit and code client's checks into appropriate accounts


  • Track financial planning fees and renewals


  • Copy and follow-up with home office on related issues


  • Schedule and prepare agendas and forms for client appointments


  • Conduct client appointment reminder calls and check-in calls on follow-up items


  • Set and maintain office atmosphere (cleanliness, magazines, coffee, garbage, office) including inventory of office supplies


  • Assist others in the practice as needed on other office projects


Client care


  • Greet and extend hospitality to clients and document client communications


  • Set up and maintain client management system and track client special events


  • Write notes or letters to clients and administer client appreciation tasks


Key traits of a successful Administrative Assistant:


  • Strong computer and phone skills - embracing technology for efficiency


  • Effective communication with clients, advisors, and staff


  • Efficient time management, organization, attention to detail, and multitasking skills


  • Ability to adhere to rules and regulations as stated and required by the team and Ameriprise Financial


  • Ability to support and provide guidance for compliance


  • Positive attitude and sincere willingness to continually learn, grow, and be collaborative


Education and experience:


  • High school degree required


  • 1 -2 years of experience with customer service preferred


  • 1 -2 years of experience providing administrative support preferably in the finance industry

Compensation:

  • $20 - $25 an hour
